The position offered is for an Admission Coordinator, who will also serve as the front desk receptionist. This role is pivotal in managing the hospital's initial patient contact and administrative admission functions. It involves answering the main hospital phone lines and directing these calls to the appropriate departments efficiently and professionally. The Admission Coordinator handles insurance verification, acquiring necessary patient signatures on all required admission paperwork, and competently processes all related forms. This position requires a dynamic individual capable of multitasking and problem-solving in a busy hospital setting.

The coordinator ensures seamless interaction between patients, the Intake Department, and nursing units, facilitating smooth admissions and discharges. They are responsible for verifying insurance eligibility, understanding co-pays, deductibles, and other terms, and providing clear explanations of these financial details to the relevant hospital personnel. The role also involves maintaining records of patient admissions and discharges, using hospital computer systems to enter and update patient data, and managing physical admission boards for evaluation and appointment scheduling.

Additional duties include maintaining postage machines and other office equipment in the admissions area, greeting hospital visitors warmly, and adhering to strict confidentiality guidelines in handling sensitive patient information. This position demands excellent communication skills, professionalism, and the ability to represent the hospital in a courteous and cooperative manner. The Admission Coordinator must be thoroughly familiar with hospital policies and procedures related to patient admissions and services, including the ongoing requirement to attend mandatory training and comply with time and attendance standards.

Strong emphasis is placed on service excellence, requiring the Admission Coordinator to consistently demonstrate respectful, non-judgmental, and empathetic interactions with all hospital contacts. Maintaining a professional appearance and promoting a safe work environment are also key aspects of this role. The position requires basic life support (BLS) CPR certification, highlighting the importance of readiness in emergency situations. Job Qualifications

  • High school diploma required
  • Experience verifying insurance required
  • One to three years of experience in admissions or related field required
  • Phone and switchboard operation skills required
  • Computer typing and data entry skills required
  • Strong communication skills and customer service orientation
  • Ability to multitask and problem solve effectively
  • Basic Life Support (BLS) CPR certification required
  • Professional demeanor and strong interpersonal skills.

Job Duties

  • Verification of all insurances online and by phone
  • Documentation and understanding of eligibility, co-pays, deductibles, and pre-existing terms
  • Distribution and explanation of insurance information to Intake Coordinators and others
  • Answering the switchboard professionally and directing calls appropriately
  • Conducting the admission process with patients and families, explaining forms and obtaining signatures
  • Processing, copying, and distributing all admission forms in a timely manner
  • Documenting provision of Patient Rights Booklet and Advance Directive information
  • Compiling and distributing daily census sheets
  • Entering and deleting admission and discharge information in computer systems
  • Maintaining and updating the admission board
  • Receiving and distributing mail, maintaining postage machine
  • Maintaining admitting area machines and assisting staff with their use
  • Greeting and directing hospital visitors
  • Attending mandatory hospital trainings and adhering to Time and Attendance policies
  • Performing related duties assigned by management
  • Representing the facility professionally and courteously
  • Maintaining confidentiality and demonstrating excellent service skills
  • Promoting a safe and clean work environment
