Job Description

Providence Place at Ingleside is a distinguished 55-plus active adult independent living community and retirement community situated on a picturesque hilltop in Holyoke, Massachusetts. The current opening is for a part-time Secretarial Support position with per diem availability, primarily covering weekends and second shifts. This role is critical for the smooth operation of various administrative functions within the community. The successful candidate will perform a variety of secretarial duties essential to maintaining effective communication and efficient office procedures. Responsibilities include answering incoming phone calls promptly, routing calls to the appropriate personnel, welcoming visitors warmly, sorting and distributing mail, typing and copying documents, and exhibiting professionalism and courtesy toward residents, visitors, and colleagues alike. Maintaining confidentiality on all matters relating to the facility and its residents is a fundamental aspect of this role.

The role demands a high level of interpersonal skills and the ability to perform multi-task assignments efficiently in a fast-paced environment. Job Qualifications

  • Good interpersonal skills to interact courteously with residents, visitors, and staff

Job Duties

  • Answer all incoming phone calls by the third ring clearly and concisely identifying the facility
  • Route calls to the proper person, paging appropriately or taking messages
  • Greet and direct visitors in a polite and helpful manner ensuring customer satisfaction
  • Sort and direct mail and deliveries in a timely manner to the proper person or department
  • Perform various secretarial duties including typing and copying
  • Maintain confidentiality with respect to resident and facility business
  • Follow safety, security, infection control, and emergency protocols as first responder
  • Maintain high standards of employee conduct according to regulations and facility standards
