Providence Place at Ingleside is a distinguished 55-plus active adult independent living and retirement community located on a picturesque hilltop in Holyoke, Massachusetts. The role available is a part-time per diem position, primarily covering weekend shifts and evening hours, which is crucial for maintaining the smooth operation and high standard of service expected at Providence Place. This position involves performing various secretarial and administrative functions essential to the day-to-day management and communication within the facility. The successful candidate will be integral in ensuring that front-desk operations are conducted professionally and efficiently, providing a friendly and helpful first point of contact for residents, visitors, and staff alike. The role demands a responsible individual capable of managing multiple tasks, maintaining confidentiality, and demonstrating courtesy and respect to everyone within the community.
Typical duties include answering and routing incoming phone calls promptly, greeting and directing visitors politely, sorting and distributing mail and deliveries, and assisting with typing, copying, and maintaining accurate reports. The position requires maintaining a calm and professional demeanor, upholding high standards of conduct consistent with organizational policies, and adhering to all safety and security protocols. Additionally, the role serves as a frontline responder to emergency situations, emphasizing the need for attentiveness and composure under pressure. Job Requirements
- Must be able to read, write, and converse in English
- Must demonstrate ease with multitask assignments
- Must possess sufficient maturity, social, and computer skills
- Must have a high school diploma or equivalent
- Must have a current, valid driver’s license
- Must attend all mandatory in-services and training sessions
- Must be able to perform moderate physical effort regularly
Job Qualifications

- Strong verbal and written communication skills

- Proficiency with basic office computer applications
- Experience in a customer service or administrative role preferred
- Valid driver’s license
- Completion of mandatory in-services on resident rights, safety, and infectious diseases
Job Duties
- Answers all incoming phone calls by the third ring and routes them appropriately
- Greets and directs visitors in a polite and helpful manner
- Sorts and directs mail and deliveries to the correct persons or departments
- Maintains confidentiality of resident and facility information
- Adheres to safety, security, infection control, and hazardous materials policies
- Acts as first responder to safety, resident, or building emergencies
- Supports the business office clerk and assists with departmental training as needed
