The role being offered is for a part-time Office Receptionist who will serve in a supportive capacity within the Atmosphere and Hosting Department. This role is central to the church’s administration and visitor experience, acting as the first point of contact for guests, church members, and staff. The Office Receptionist is essential in maintaining an organized, welcoming, and efficient office environment. Responsibilities include greeting visitors warmly, managing multi-line phone systems, and assisting callers promptly to provide a positive and helpful first impression of the church. The receptionist also plays a pivotal role in internal communications by directing calls appropriately, coordinating with security if necessary, and transferring messages to pastors or other staff, ensuring smooth and effective information flow.
Additionally, the Office Receptionist manages the reception area by keeping it tidy and orderly, updating voicemail messages related to service changes or special events, and maintaining logs of unusual inquiries or concerns. This position requires a person who can multitask efficiently, balancing phone duties with light administrative tasks and assisting in preparing materials like pocket calendars and weekly informational updates for staff and volunteers. The role also involves supporting special events by overseeing the reception desk as needed. Importantly, the receptionist helps facilitate mail delivery coordination within the church offices, ensuring timely notification to staff about packages and maintaining organization of uncollected items.
Successful candidates must have at least two years of multi-line telephone or general clerical experience or an equivalent combination of training and experience. Familiarity with the departments and events of James River Church is critical, alongside strong customer service skills and, preferably, relevant office services experience. The position demands outstanding communication skills, both oral and written, as well as sound judgment, integrity, and reliability. Job Requirements
- Two years of multi-line telephone or general clerical experience or any equivalent combination of training and experience
- solid knowledge of the James River Church departments and events
- experience in customer service and/or sales
- relevant experience to assist other areas of Office Services preferred

Job Duties
- Represent the church culture well to all guests and staff members
- courteously greet all who enter the office in a friendly manner and promptly assist with their needs
- ensure all incoming calls are answered promptly and courteously to minimize wait times and maintain a positive impression
- transfer all calls promptly, leaving no one on hold for more than 30 seconds
- communicate to security if a concern arises regarding office reception
- connect those needing to talk with a pastor to the POF and assign an interaction in F1GO to the POF
- forward voicemails and emails from the Answering Service received when office is closed
- maintain an orderly reception area
- assist with updating voicemail recordings related to service times, closings, and special events
- log calls when the caller has a concern or an unusual question and direct concerns to the appropriate department
- train and oversee other staff/Dream Teamers to assist in reception area when needed
- stay informed about weekly church events to answer questions accurately
- remain in reception area unless a temporary backup/replacement is scheduled
- assist with administrative tasks while sitting at the desk
- create pocket calendars and weekly info for staff and volunteers related to services
- assist with overseeing reception desk during special events
- notify departments about delivered packages and manage uncollected items appropriately
