The part-time Receptionist position at Ovation Communities, specifically operating in the Chai Point location, offers a pivotal role in maintaining smooth front desk operations and reinforcing the company’s commitment to superior customer service. This role involves performing general reception duties that include greeting residents, visitors, and staff, managing front desk operations, and acting as the primary point of contact for all incoming visitors. The Receptionist is entrusted with the responsibility of providing a professional and secure first impression of the community, ensuring that the reception area remains orderly and inviting at all times. The position requires an individual adept in balancing security functions while offering friendly and accommodating customer service.

Working primarily during the PM shift, the receptionist's duties extend beyond simple clerical tasks to include monitoring security systems, managing building entry and exit processes, and adhering strictly to security protocols to maintain the safety and security of the premises. This role demands a combination of interpersonal skills, attention to detail, and the ability to multitask efficiently in a dynamic environment. Exceptional phone etiquette and competence in using computer software such as the MS Office Suite are essential to perform effectively in this role. Job Requirements

  • high school diploma or equivalent
  • at least one (1) year of experience as a receptionist or doing administrative work
  • strong computer skills including MS Office Suite products
  • great phone and etiquette skills
  • able to multitask and effectively handle incoming requests
  • read, write and comprehend the English language

Job Duties

  • maintains the order and cleanliness of the reception area to provide a professional ambiance
  • greets and monitors visitors coming in and going out of the building
  • answers phones for incoming calls, directs calls to appropriate person(s), handles inquiries as necessary
  • ability to display patience and understanding with residents and staff at all times and offer superior customer service
  • monitors security screens and building entry
  • follows security procedures, i.e., visitors signing in and out and distributing visitor passes, etc.
  • notifies appropriate personnel of potential problems that are observed
  • monitors and reacts within prescribed policy to emergency boards and systems located at the reception desk, such as fire warning panels, pull cord alarms, etc.
