The role of the Receptionist in the Administration Department at Spanish Cove Retirement Village is a vital position designed to support the smooth operation of the community. This part-time opportunity offers an hourly wage of $12.00, with shifts from 8:00 AM to 5:00 PM on Saturdays and Sundays, making it an excellent position for individuals seeking flexibility outside of the traditional workweek. The Receptionist's core responsibilities encompass a wide array of clerical and administrative tasks essential to the day-to-day functioning of the village. These include managing incoming calls and directing them appropriately, greeting and directing visitors, coordinating mail and express delivery services, and performing light office duties such as photocopying, faxing, and typing. Additionally, the Receptionist collaborates closely with other departments, maintaining detailed records related to check receipts from residents and handling scheduling responsibilities such as coordinating transportation for residents to doctor appointments. Job Requirements

  • High school diploma or equivalent
  • Ability to lift, move, push, pull and transfer 50 pounds
  • Availability to work 8:00 AM to 5:00 PM on Saturday and Sunday
  • Strong verbal and written communication skills
  • Ability to use office equipment including telephone systems, photocopiers, and postage meters
  • Basic computer knowledge including Microsoft Outlook
  • High level of attention to detail
  • Capability to work independently within established guidelines
  • Commitment to uphold employee handbook policies

Job Qualifications

  • High school diploma or equivalent
  • Previous experience in a receptionist or clerical role preferred
  • Strong communication and interpersonal skills
  • Basic computer proficiency including familiarity with Outlook
  • Ability to handle multiple tasks and prioritize effectively

Job Duties

  • Answers telephones and directs the caller to the appropriate associate
  • Transfers callers to voice mailbox when the associate is unavailable
  • Greets and directs visitors to the company
  • Provides callers with information such as company address, directions to the company location, company fax numbers, company website and other related information
  • Receives, sorts and forwards incoming mail
  • Runs outgoing mail through the postage meter and updates the meter when necessary
  • Coordinates the pick-up and delivery of express mail services such as FedEx and UPS
  • Assists with other related clerical duties such as typing, photocopying and faxing
  • Receives checks from residents and maintains a list of checks received each day, forwarding them to the Accounting Director
  • Receives requests from residents for transportation to and from doctor's appointments and inputs appointments into Outlook
  • Distributes the transportation schedule to drivers at 5 PM each day for the following day's needs
  • Receives and inputs resident work orders
  • Assumes accountability for all information contained in the employee handbook
  • Works independently within guidelines of job description
