This position is integral to our facility's communication and administrative functions, serving as the first point of contact for callers and visitors during weekends. The individual in this role will manage multi-line telephone switchboards, assisting in directing calls efficiently to the relevant departments or individuals. The role necessitates a professional demeanor, excellent communication skills, and the ability to manage multiple tasks including clerical duties and light office administration. The ideal candidate will be proactive, detail-oriented, and capable of working independently to ensure that visitors and callers receive prompt and accurate assistance. Responsibilities include answering telephones, greeting visitors, providing directions, maintaining important resident and employee records, ordering supplies, and coordinating deliveries when necessary. The position also involves reporting any suspicious activities immediately to maintain security and safety within the facility. Candidates with at least one year of experience in switchboard operation or customer service will find this role particularly suitable. The physical demands of the position require the ability to move throughout the workday and perform light physical activity such as bending and stooping. Additionally, the candidate must have adequate vision and hearing, or suitable prosthetics that ensure these senses allow them to perform their duties effectively. Job Requirements
- High school education or equivalent
- Minimum one year experience in multi-line switchboard operation
- Ability to move consistently throughout the workday
- Ability to reach, bend, and/or stoop intermittently throughout the workday
- Adequate vision and hearing to perform duties or use of prosthetics ensuring necessary sensory functions
- Ability to cope with mental and emotional stress associated with the position
Job Qualifications
- High school education or equivalent
- Minimum of one year experience in multi-line switchboard operation
- Experience in customer service related environment preferred
- Ability to effectively communicate with visitors and staff
- Proficient in basic clerical skills including typing, filing, and phone handling
- Capable of managing multiple tasks independently
- Professional demeanor and excellent interpersonal skills
Job Duties
- Answer telephone
- determine nature of call and direct caller to appropriate individual or department
- Greet visitors
- direct to appropriate office and/or resident room
- Give directions/information to visitors, guests, residents, sales representatives, etc
- Receive requests from within the facility and locate employees
- Maintain a current file/listing of residents by name and room number, emergency phone numbers of employees, department extensions, key employees, etc
- Report suspicious persons/information immediately
- Order supplies as directed
- Perform general office and secretarial duties including typing, answering telephone, maintaining files, photocopying, and faxing
- Maintain receipt records as directed
- Accept and/or coordinate deliveries if appropriate
- Perform special projects and other duties and responsibilities as assigned
