The role of Receptionist, Oral Surgery at St. Luke's is pivotal in delivering an exceptional patient experience by acting as a passionate advocate and support for patients. This position is critical to creating a patient-centric culture in the oral surgery practice, ensuring both administrative efficiency and warm, compassionate service. The receptionist facilitates essential administrative tasks such as patient check-in and check-out, appointment scheduling, verification of insurance eligibility, handling referrals and medical records, and managing point-of-service payments. This role is more than clerical—it requires a deep understanding of healthcare procedures and patient needs to effectively communicate insurance information, treatment plans, and estimates of out-of-pocket costs, thereby helping patients navigate their care journey with confidence.

In addition to patient interaction, the Receptionist is responsible for supporting day-to-day practice operations including opening and closing procedures, maintaining the cleanliness of the practice, handling mail and deliveries, managing cash and billing functions, and ensuring accurate and timely documentation and claim submissions. This hybrid administrative-patient support role demands proficiency with healthcare coding, dental terminology, and insurance processes. Familiarity with customer service best practices and healthcare settings enhances the ability to manage patient inquiries and requests efficiently.

The Receptionist is also expected to perform physically demanding tasks such as sitting, standing, and walking for extended periods, and occasionally assisting with the movement of supplies and equipment. Attention to detail, excellent communication skills, and emotional intelligence are essential to successfully fulfill the responsibilities in this dynamic environment. Educational requirements include a high school diploma or equivalent, with a preference for candidates who have completed administrative training programs. Job Requirements

  • High school graduate or equivalent
  • Completion of an administrative training program preferred
  • One year of practice-based experience or in a similar healthcare setting preferred
  • Familiarity with dental processes, coding, and terminology
  • Customer service experience
  • Ability to sit, stand, and walk for extended periods
  • Ability to lift up to 25 pounds occasionally
  • Ability to push carts and wheelchairs as needed
  • Good hearing and vision
  • Ability to stoop, bend, and reach above shoulder level

Job Qualifications

Job Duties

  • Performs administrative service delivery functions with patients including answering phones, check-in, chart preparation and filing, obtaining referrals and x-rays, patient consent, check-out, pre-registration and real-time eligibility verification, registration, appointment/testing scheduling at check-out, point of service payment collection, addressing patient inquiries
  • Facilitates practice opening and closing procedures, maintenance of practice cleanliness, processing of incoming mail and deliveries, cash management and reconciliation, and prompt scanning and indexing incoming faxes
  • Performs queries to providers regarding documentation, diagnosis coding, and procedural coding
  • Enters all charges, creates and releases clean claims daily
  • Creates treatment plans based on insurance coverage and provides accurate estimates to patients of out-of-pocket costs for procedures
  • Creates patient correspondence for referring doctors
  • Other related duties as assigned
