The Receptionist role at Oak View Group is a pivotal administrative position focused on ensuring efficient office functionality across departments. This full-time, in-office role offers an hourly wage ranging from $25.00 to $30.00 per hour. The Receptionist serves as the first point of contact for clients, visitors, and guests, greeting and directing them professionally and courteously. Alongside managing visitor flow, this person is responsible for maintaining clean and organized break and meeting rooms, monitoring and restocking food and beverage supplies to preserve a welcoming environment.
Additional responsibilities include handling incoming mail, packages, and courier deliveries, as well as dispatching company-wide communications and managing executive calendars using Outlook. The Receptionist performs various clerical and administrative duties such as expense report reconciliation, compiling and analyzing information for executives, and assisting with special projects and departmental events. An important facet of this role is maintaining effective communication with external vendors and stakeholders to ensure office facilities are well-maintained. The Receptionist also plays a key role in maintaining office security by screening visitors and acting with discretion. Serving as a liaison between departments and office personnel, their role is essential in fostering smooth internal operations.

Job Qualifications
- At least 2 years of experience as a receptionist or office manager or equivalent administrative support experience
- at least 3 years of administrative support experience in a fast-paced environment managing multiple projects simultaneously
- strong knowledge of Microsoft Office applications including Outlook, Teams, Excel, PowerPoint, Word, automated calendaring, and internet software
- excellent written and verbal communication skills
- ability to work independently and cooperatively in a deadline-driven environment
- excellent organizational and follow-through skills with strong attention to detail
Job Duties
- Greet clients, visitors, and guests

- ensure cleanliness and organization of break rooms and meeting rooms
- monitor inventory of food and beverage items
- restock supplies as needed
- receive mail, documents, packages, and courier deliveries

- review and reconcile expenses and reimbursement reports
- compile and exchange information for executives
- assist in implementation of department and special event activities and communications
- assist other department staff with special projects

- ensure office security by screening visitors
