The Receptionist role at FFF Enterprises is a pivotal position that acts as the primary point of contact for the company. This role involves answering over 700 calls daily on the main telephone system, ensuring every caller receives prompt, courteous, and professional assistance. Job Requirements

  • High school diploma or equivalent
  • Minimum two years receptionist or administrative assistant experience in a professional environment
  • Experience managing high volume telephone calls with a calm and friendly approach
  • Ability to maintain confidentiality and show sensitivity to callers' needs
  • Ability to prioritize work and manage multiple tasks effectively
  • Typing speed of 45 words per minute or better
  • Intermediate skills in Microsoft Word, Excel, and PowerPoint
  • Ability to represent the company professionally
  • Ability to work under pressure during peak call periods
  • Willingness to assist with additional duties such as event support and safety compliance

Job Qualifications

  • High school diploma or equivalent
  • Prior receptionist or administrative assistant experience of at least two years in a professional environment
  • Experience handling high volume telephone systems
  • Proficient in Microsoft Word, Excel, and PowerPoint
  • Typing speed of 45 wpm or better
  • Strong verbal and written communication skills
  • Ability to maintain confidentiality and handle multiple tasks efficiently
  • Skilled at prioritizing directives from multiple supervisors
  • Preferred bachelor's degree in a related field
  • Knowledge of phone consoles with multiple lines and paging systems
  • Demonstrated initiative and creativity in previous roles
  • Strong organizational skills
  • Ability to work independently and as part of a team
  • Sound decision-making abilities
  • Bi-lingual Spanish considered a plus

Job Duties

  • Answer all incoming telephone calls by the third ring in a friendly and professional manner and direct them to the appropriate person for assistance
  • Maintain the Receptionist Handbook including all standard operating procedures
  • Greet all guests making them feel welcome and ensure they are received by team members timely
  • Receive and distribute incoming mail, packages, flower arrangements, and deliveries
  • Assist Department Managers with typing letters, documents, reports, and other clerical duties
  • Manage the Employee Length of Service Recognition Program including certificate creation, coordination, and invoicing
  • Administer the High 5 Program and track gift card distribution
  • Provide backup to the Office Services Coordinator including mail sorting and processing outgoing mail
  • Create and distribute monthly calendars and upload them to the company intranet
  • Update and post the Company phone list monthly
  • Participate in the Wellness Committee and assist with company events
  • Decorate the lobby for holidays
  • Adhere to company policies, federal and state regulations
  • Display dedication to responsibilities and achieve goals
  • Represent the company professionally at all times
  • Understand and internalize company values
  • Work effectively with coworkers and customers by communicating positively and constructively
  • Comply with safety programs and report hazards
  • Ensure compliance with company policies
  • Perform other duties as assigned
