Handling more than 700 calls daily, with spikes reaching 1200 calls during flu season, the Receptionist must adeptly manage multiple responsibilities while ensuring a welcoming and professional atmosphere. Job Requirements
- High school diploma or equivalent required
- Minimum two years receptionist or administrative assistant experience in a professional environment
- Previous experience with managing high volume telephone calls
- Ability to handle multiple tasks and projects simultaneously with a calm and positive approach
- Must represent the company professionally at all times
- Excellent verbal and written communication skills
- Ability to maintain confidentiality and handle sensitive situations
- Typing speed of 45 wpm or higher
- Intermediate Microsoft Office skills
- Ability to prioritize tasks and meet deadlines
- Ability to receive directives from multiple supervisors
- Ability to work effectively with coworkers and customers
- Must comply with company policies, safety regulations, and compliance standards
Job Qualifications
- High school diploma or equivalent
- Minimum two years receptionist or administrative assistant experience in a professional environment
- Experience handling main phone line with high volume calls exceeding 700 per day
- Ability to manage multiple tasks and projects calmly in a fast-paced setting
- Excellent verbal and written communication skills
- Ability to maintain confidentiality and demonstrate sensitivity to callers
- Typing skills of 45 words per minute or better
- Intermediate proficiency in Microsoft Word, Excel, and PowerPoint
- Demonstrated initiative and creative approach to assignments
- Strong organizational skills
- Ability to work with limited supervision and as part of a team
- Sound decision-making abilities
- Bi-lingual Spanish is a plus
- Bachelor’s degree in a related field is preferred
Job Duties
- Answer all incoming telephone calls by the 3rd ring in a friendly and professional manner and direct them to the appropriate person for assistance
- Maintain the Receptionist Handbook that includes all reception standard operating procedures (SOPs) and periodically update it as needed
- Receive all guests to the company, ensuring they feel welcome and are greeted timely by team members
- Receive and distribute incoming mail, packages, flower arrangements, and deliveries to team members
- Assist department managers with administrative tasks such as typing letters, faxing, document organization, and label creation
- Manage the Employee Length of Service Recognition Program, including creating certificates, sending emails, and processing invoices
- Administer the High 5 Program and distribution of gift cards, including issuing and tracking
- Provide backup support to the Office Services Coordinator by sorting and processing outgoing mail and packages
- Create and distribute monthly calendars and update the company phone list for posting
- Participate in the Wellness Committee and company event activities
- Assist with lobby decoration for holidays
- Adhere to company policies, laws, and regulations
- Maintain professional appearance and conduct at all times
- Uphold company values including loyalty, enthusiasm for learning, teamwork, and diversity respect
- Comply with safety and compliance programs
- Perform other duties as assigned
