Job Requirements

  • High school diploma or GED
  • Two years administrative experience
  • Associate or Bachelor’s Degree preferred
  • Ability to problem-solve and think critically
  • Ability to follow-up on tasks and meet deadlines with minimal supervision
  • Computer literate with Microsoft Office Suite or Google Workspace
  • Effective written and verbal communication skills
  • Ability to lift 50 lbs safely
  • Ability to sit, stand, or squat intermittently
  • Ability to hear, see, and communicate in English
  • Ability to work cooperatively with all staff levels
  • Ability to use standard office equipment

Job Qualifications

  • High school diploma or GED
  • Minimum of one-year administrative experience

Job Duties

  • Screens incoming calls and takes accurate messages in a professional manner
  • Directs visitors to the appropriate departments or persons
  • Serves as first point of contact for visitors, residents, families, and vendors
  • Maintains organized filing systems and office equipment
  • Types and distributes letters and memorandums, proofreads material
  • Processes incoming and outgoing mail, including courier coordination
  • Maintains and updates resident, staff, and guardian rosters and binders
  • Assists with scheduling meetings, preparing materials, and supporting room setups
  • Coordinates office supply inventory and purchases
  • Ensures safety and regulatory compliance through signage and reporting
  • Supports quality assurance by maintaining logs and assisting with audits
  • Manages coordination of maintenance requests and office equipment repairs
  • Communicates with interdisciplinary teams and relays messages
  • Assists with transportation and activity coordination for residents
  • Performs other duties as assigned by Executive Director or Administrator
