Job Duties
- answer all incoming office calls
- anticipate and address the needs of incoming guest calls
- function as the gatekeeper for the office team
- greet visitors promptly and direct them to appropriate persons
- participate in maintaining office culture by coordinating monthly office social activities
- organize incoming mail and packages
- prepare outgoing deliveries for UPS and FedEx
- proactively organize, maintain and order office equipment and related supplies
- organize and manage booking of corporate conference rooms
- maintain kitchen and break areas and restock refrigerators and snacks
- greet new employees and coordinate with team manager and IT for desk setup
- assist HR with company-wide communication welcoming new employees and clients
- support marketing team with bulk gift card orders and customer service
- perform ad hoc duties as requested
- use live chat communication and support platforms to address inquiries and assign support requests
- act as point of contact among executives, employees, clients and external partners
- manage information flow timely and accurately
- manage calendars, set up meetings, assist with agendas
- make travel and accommodation arrangements
- track daily expenses and prepare reports
- assist with office management responsibilities
- format information for internal and external communications
- screen and direct phone calls and distribute correspondence
- organize and maintain office filing system
