Job Requirements

  • High school diploma or equivalent
  • Minimum 2 years of experience in a receptionist or front office role
  • Previous supervisory or team lead experience
  • Strong organizational and multitasking abilities
  • Proficient with Microsoft Office and relevant software applications

  • Ability to maintain patient confidentiality and comply with HIPAA
  • Capable of handling customer inquiries and complaints professionally

Job Qualifications

  • High school diploma or equivalent
  • Experience in a front desk or receptionist role, preferably within healthcare or a clinical setting
  • Proven leadership or supervisory experience
  • Strong communication and interpersonal skills
  • Proficiency with computer applications including Microsoft Office, and healthcare software such as Ggastro and Klara
  • Knowledge of HIPAA regulations and compliance
  • Ability to handle multi-tasking and prioritize responsibilities
  • Customer service orientation with problem-solving skills
  • Ability to train and mentor staff
  • Basic reporting and data tracking experience
  • Adaptability to changing work environments

Job Duties

  • Leading, guiding, and mentoring the front desk team across all IGA clinic sites
  • Onboarding and training of new employees, ensuring they understand procedures and protocols
  • Addressing and resolving patient complaints or inquiries
  • Overseeing daily front desk activities, including check-ins, check-outs, and patient requests
  • Representing IGA with courtesy and a positive attitude
  • Addressing any questions from team members
  • Redirect all incoming returned mail
  • Maintain clinic recalls
  • Communicate and explain any workflow changes
  • Monitor automated appointment confirmations, confirm/document any appointment changes if needed
  • Demonstrates ability to operate and maintain copy machine, credit card machine, and scanner
  • Maintain computer skills required, including proficiency in typing, Microsoft Office, Ggastro, and Klara
  • Assists in keeping lobbies clean and orderly
  • Maintain HIPAA compliance
  • Answers questions and gives information directly, or on the telephone within the scope of their knowledge
  • Demonstrates respect for IGA policies for security, privacy, and confidentiality while using IGA equipment
  • Immediately reports any network, hardware, or software malfunction to the IT department or Immediate Supervisor
  • Communicates pertinent information to others
  • Follows personnel policies contained within the IGA personnel manual
  • Has the ability to adapt to changes in the work environment
  • Manages competing demands
  • Able to handle frequent change, delays, or unexpected events
  • Hold staff responsible for their assigned duties and tasks
  • Assist in the annual review of staff in conjunction with the Front office Supervisor
  • Conduct basic reporting at the direction and need of the Front office Supervisor to measure and track staff productivity
  • Other duties as assigned
