The role being offered is that of an administrative secretary and receptionist within one of PruittHealth's facilities. This position plays a crucial part in the smooth operation of the facility by handling day-to-day administrative tasks and maintaining a welcoming environment for visitors, residents, and staff. Responsibilities include managing incoming calls, maintaining confidentiality regarding personnel and resident information, typing documents with speed and accuracy, and supporting various office functions as directed by supervisors and administrators. This role demands a high level of organizational skills, attention to detail, and the ability to multitask in a busy healthcare setting.

As the first point of contact for many visitors and callers, the administrative secretary ensures that every interaction is handled with professionalism, empathy, and discretion. Job Requirements

  • High school diploma or equivalent
  • at least six months experience in payroll, insurance and/or clerical position
  • ability to maintain confidentiality
  • proficient typing skills
  • ability to follow established policies and procedures
  • excellent communication and interpersonal skills
  • availability to notify supervisor promptly of absence or tardiness

Job Qualifications

  • High school diploma or equivalent
  • preferred two years of experience in payroll, insurance and/or clerical position
  • courses in payroll, bookkeeping, office procedures and related subjects
  • ability to type at least 50 words per minute with high accuracy
  • strong organizational and communication skills
  • ability to maintain confidentiality
  • proficiency in operating office machines and computers
  • ability to handle repetitive tasks
  • effective in emergency response
  • ability to support diverse populations including residents, families, and visitors

Job Duties

  • Answers incoming telephone calls and direct to appropriate person or department
  • maintains confidentiality of all pertinent personnel information in accordance with privacy policies
  • types documents, reports, letter, etc. at least 50 words per minute with high accuracy
  • remains at repetitious tasks for long periods while completing paperwork
  • recognizes, responds to and/or report resident emergency situations immediately
  • maintains strict confidentiality on all facility data
  • communicates with and supports residents, families, visitors
  • maintains privacy of records, conditions and other information relating to residents, employees and facility
  • performs assigned tasks in accordance with policies and procedures and as instructed by the Administrator
  • notifies supervisor of pending absence or tardiness within the required timeframe
  • operates copier, office machines, computer, etc., as directed
  • prepares and mails statements according to established billing procedures
  • assists in preparing time cards and distributing payroll checks
  • maintains current file and listing of residents, emergency phone numbers of on-call personnel, key personnel
  • greets visitors, guests, residents, sales people and others, monitors or reports suspicious persons or situations
  • receives, sorts and distributes mail as directed
  • refers difficult or conflicting interactions to Administrator or appropriate department head
  • conducts annual salary and wage surveys and reports findings
  • assists in reporting complaints and grievances from residents, families, visitors and partners
  • assists with completing forms and reports not considered essential functions
  • assists with supply inventory
