The role of Administrative Secretary and Receptionist at PruittHealth is integral to the smooth day-to-day operations of the facility. This position involves managing essential administrative tasks, supporting the office supervisor, and acting as the first point of contact for residents, families, visitors, and staff. The administrative secretary is responsible for performing a variety of clerical duties, including answering telephone calls, sorting and distributing mail, typing documents with high accuracy and speed, and maintaining confidentiality in all aspects of personnel and facility information. In this role, one must be vigilant in recognizing and responding to emergency situations promptly, demonstrating a commitment to the safety and well-being of all who are part of the facility.

Beyond clerical and reception duties, this position requires handling payroll and billing processes by assisting in the preparation of time cards, distributing payroll checks, and mailing statements according to billing procedures. The administrative secretary also supports the smooth operation of the office by operating standard office equipment such as copiers and computers, maintaining current resident files and emergency contact lists, and assisting with inventory management. This collaborative role demands excellent communication skills to interact effectively with residents, families, visitors, and staff, providing support and directing concerns to the appropriate personnel or department.

Job Requirements

  • High school diploma or equivalent
  • At least six months experience in payroll, insurance and/or clerical position
  • Ability to type at least 50 words per minute with high accuracy
  • Ability to maintain confidentiality and handle sensitive information appropriately
  • Effective communication skills
  • Ability to operate office machines and computer systems
  • Willingness to remain at repetitious tasks for long periods
  • Ability to recognize and respond to emergency situations promptly

Job Qualifications

  • High school diploma or equivalent
  • At least six months experience in payroll, insurance and/or clerical position
  • Preferred two years of experience in payroll, insurance and/or clerical position
  • Courses in payroll, bookkeeping, office procedures, and other related subjects

Job Duties

  • Answers incoming telephone calls and directs to appropriate person or department
  • Maintains confidentiality of all pertinent personnel information in accordance with the Privacy Act
  • Types documents, reports, letters at least 50 words per minute with high accuracy
  • Remains at repetitious tasks for long periods of time while completing paperwork
  • Recognizes, responds to and/or reports resident emergency situations immediately
  • Maintains strict confidentiality on all facility data
  • Communicates with and supports residents, families, visitors
  • Maintains privacy of records, conditions and other information relating to residents, employees and facility
  • Performs assigned tasks in accordance with policies and procedures and as instructed by the Administrator
  • Notifies supervisor of pending absence or tardiness within the time frame described in personnel handbook
  • Operates copier, office machines, computer as directed
  • Prepares and mails statements in accordance with established billing procedures
  • Assists in preparing time cards and distributing payroll checks
  • Maintains current file and listing of residents, emergency phone numbers of on-call personnel, key personnel
  • Greets visitors, guests, residents, sales people and others, and monitors or reports suspicious persons or situations to the Administrator
  • Receives, sorts and distributes mail as directed
  • Refers difficult and conflicting interactions or situations to Administrator or appropriate department head
  • Conducts annual salary and wage surveys and reports findings to the Administrator
  • Assists in reporting complaints and grievances from residents, families, visitors and partners
  • Assists with completing forms and reports that are not considered as essential functions
  • Assists with supply inventory
