Job Description
Lighthouse Psychiatry is a mission-driven outpatient psychiatry practice located in Gilbert, Arizona, dedicated to providing evidence-based mental health care to communities across the state. Lighthouse Psychiatry is currently seeking a full-time, in-person Front Desk Receptionist to join their team at their Gilbert location. The position offers hourly pay ranging from $17 to $20 based on experience, adaptability, and certifications, with opportunities for growth within the specialty mental health clinic. This role is central to the smooth running of front office operations, managing patient access, scheduling, EHR documentation, and overall patient coordination in a behavioral health setting. The Front Desk Receptionist serves as the first point of contact for patients, ensuring a warm, professional, and empathetic welcome while maintaining high standards of administrative accuracy and confidentiality.
Ideal candidates have a strong background in medical or behavioral health office environments and are proficient with Electronic Health Record (EHR) systems, preferably Athenahealth, alongside Microsoft Office applications like Word and Excel. The role demands excellent organizational skills, attention to detail, superior customer service abilities, and discretion in handling sensitive patient information. Responsibilities include greeting patients, managing check-ins and check-outs, handling phone and electronic communications, preparing patient intake forms, maintaining provider calendars, coordinating referrals and follow-ups, managing billing support tasks such as collecting copays and posting payments, performing routine chart audits for accuracy, and supporting the overall administrative workflow of the clinic.
This position requires physical capabilities such as standing, walking, stooping, and bending for extended periods and the ability to lift up to 25 pounds. Adherence to HIPAA and state privacy regulations is mandatory, alongside compliance with internal policies regarding Protected Health Information. Job Requirements
- Minimum of two years of experience in medical or behavioral health office
- proficiency with EHR/EMR systems and Microsoft Office
- excellent organizational and time management skills

Job Qualifications
- Two or more years in a medical, mental health, or behavioral health office
- experience with EHR/EMR systems (Athenahealth preferred) and Microsoft Office (Word/Excel)

Job Duties
- Greet patients and visitors
- manage check-in/check-out with professionalism and empathy
- answer phones, route calls, manage voicemail, and respond to email/portal inquiries
- prepare new-patient packets and ensure completion of HIPAA, consent, financial, and intake forms
- manage waitlists, cancellations, reschedules, and fill open appointments efficiently
- schedule new and follow-up appointments by provider criteria
- maintain provider calendars and appointment templates in the EHR
- coordinate referrals, follow-ups, and multi-visit treatment series
- monitor no-shows and late arrivals
- perform reminder and rebooking outreach
- enter/update demographics, insurance, pharmacy, and contact information
- scan, upload, fax, and index documents in the EHR
- process Release of Information requests per policy
- perform routine chart checks for accuracy and completeness
- collect copays/fees, post payments, reconcile daily receipts
- verify basic insurance and coordinate with billing on eligibility or account questions
- track authorizations and external paperwork
- maintain spreadsheets/logs accurately
- keep the front office organized
- open/close office per protocol
- serve as liaison between patients, clinicians, and management
- document calls/messages in EHR or internal systems
- cross-train on additional office procedures
- assist with medical office workflows as needed
