Job Requirements

  • Must possess as a minimum a high school diploma or its equivalent
  • must have at least one year experience in a clerical position or successfully completed a secretarial science program from an accredited school/college
  • ability to communicate clearly and politely
  • proficiency with office equipment and computer systems
  • willingness to comply with facility policies and procedures
  • ability to maintain confidentiality
  • ability to handle multiple tasks simultaneously
  • ability to demonstrate teamwork and integrity

Job Qualifications

  • at least one year of clerical experience
  • ability to operate office machines and computer software

Job Duties

  • Answer telephones in a friendly and cheerful manner
  • determine nature of call and direct caller to appropriate individual or department
  • receive and follow reception schedule/instructions from supervisor and established policies
  • operate paging/telephone system as required
  • receive requests and locate personnel through paging system
  • maintain a current file/listing of residents by name and room number
  • maintain a current listing of critical residents and/or those restricted from calls
  • greet visitors and direct them to the appropriate office or resident room
  • give directions/information to visitors, guests, residents, sales representatives
  • offer beverages to visitors waiting for administrative personnel as appropriate
  • monitor presence and location of sales representatives
  • issue and collect identification badges
  • ensure guests/visitors abide by existing rules and refuse admission as directed
  • report suspicious persons/information to supervisor
  • assist with administrative duties including typing, filing, posting accounts
  • receive, sort, and distribute mail
  • operate copier, office machines, and computer as directed
  • order supplies
  • assist department directors with administrative matters
  • report suspected fraud to Administrator
  • ensure departmental computer workstations are logged off or password-protected
  • attend in-service educational classes and on-the-job training
  • perform accounts payable duties
  • ensure administrative supplies are replenished
