The Receptionist position at Catholic Charities Maine serves as the vital first point of contact for Central Services. The successful candidate will embody the spirit of hospitality and professionalism by warmly greeting visitors, staff, volunteers, and guests, providing clear and courteous assistance over the phone and through email, and maintaining safety and security at the front desk.

This part-time role initially begins in Portland's downtown area, operating under 20 hours per week on an on-call basis from March through September 2026. Beginning October 2026, the position will transition to the Lewiston location at the Priory attached to the Basilica with the potential to increase to a Part Time 2 schedule of 20 to 29 hours per week. The schedule is flexible but falls primarily within regular office hours, Monday through Friday from 8:00 a.m. to 4:30 p.m., including a half-hour lunch break. This flexibility provides an ideal work-life balance for those who value stable, part-time employment.

In addition to reception duties, the role includes supporting various administrative functions across Central Services departments. Responsibilities incorporate managing incoming phone calls and emails, processing mail, maintaining records with data entry and scanning tasks, and assisting with volunteer coordination. The receptionist will manage sensitive and confidential information with the utmost discretion and professionalism. The ability to adapt smoothly from quieter, independent work periods to busier, high-volume times is essential for success in this position.

Job Duties

  • Greet all visitors staff volunteers and guests with a joyful cheerful and professional demeanor
  • Answer and route incoming phone calls and emails
  • Maintain front desk safety and security by being alert to who is coming and going
  • Provide administrative support to Central Services departments
  • Process daily mail and create the daily check log
  • Perform data entry scanning and filing including Excel-based tasks
  • Handle confidential and sensitive information with discretion
  • Work independently during quieter periods and manage high-volume activity during busy times
  • Assist with Volunteer Service
