The Receptionist role at Koelsch Communities offers an excellent opportunity for individuals who enjoy providing outstanding customer service and being the welcoming face of a community. This position requires managing various office functions, greeting residents and visitors, and maintaining communication within the community. The receptionist plays a crucial role in delivering a positive first impression to residents, families, vendors, and prospective residents while supporting the administrative operations. Responsibilities include preparing admissions packets, handling phone calls courteously and professionally, managing office files with the business office, and processing mail. The role also involves selling meal and event tickets, keeping census records, and assisting with office supply inventory. Additionally, the receptionist manages resident rent payments and purchase orders, monitors the lobby and visitor activity, and ensures the environment remains safe and clean.
Strong organizational skills, attention to detail, and the ability to multi-task in a fast-paced setting are essential for success in this role. Candidates must possess an upbeat, positive personality and be capable of working collaboratively across departments to maintain a high quality of resident care. Professional appearance and hygiene are important, alongside maturity and the ability to communicate effectively in Standard English. The position is 100 percent on-site and requires employees to be active throughout their shift, often handling a variety of duties that may change quickly. This role requires adherence to community policies and procedures, including wearing professional business attire and maintaining confidentiality and integrity of the organization. Physical demands include standing, walking, and lifting items up to 50 pounds, making it important for candidates to be capable of performing these activities reliably.
Ideal candidates will have completed an approved food handler's or ServSafe course and come with experience in human resources or business office roles to help them succeed. Job Requirements
- Must possess an upbeat positive flexible and enthusiastic personality and be congenial with fellow employees residents and the public at large
- Must be an honest and dependable individual
- Must maintain proper hygiene
- Must be professional in dress and presentation
- Must be willing to be active during entire work shift
- Must be able to effectively communicate verbally and in writing in Standard English and use own judgment and initiative in daily activities
- Must be a mature individual
- Must possess the ability to multi-task in a fast-paced environment and perform a variety of tasks often changing assignments on short notice
- Must have strong organizational skills as well as the ability to prioritize and meet deadlines
- Must be detail and team work oriented
- Must attend required in-services workshops to further education of skills and community requirements
- Must be drug-free and submit to urinalysis drug screening upon hire and routinely
- Must be able to pass a criminal background check upon hire and as required by state regulations
- The employee shall be responsible for maintaining the integrity of Koelsch Communities
Job Qualifications
- Passed an approved food handler's or ServSafe course as required by county state or community policy
- Experience in human resources or business office related positions will assist tremendously with success in this position
- Strong organizational skills
- Ability to prioritize and meet deadlines
- Good communication skills in Standard English
Job Duties
- Greet the public including current and prospective residents families vendors and outside staff
- Prepare admissions packets
- Provide customer service and answer incoming calls in a professional and friendly manner and take accurate and complete messages and give to appropriate departments
- Prepare and distribute status alerts
- Maintain office files with the Business Office Manager
- Sell meal tickets as well as special events tickets
- Keep daily census record
- Process incoming and outgoing mail
- Prepare time cards
- Order office supplies
- Record ancillaries
- Receive resident rent payments each month and record for bookkeeper
- Maintain record of purchase orders
- Keep track of postage
- Monitor lobby and visitors
- Observe and uphold resident rights at all times
- Relate to the public and residents in a courteous empathetic and cooperative manner
- Must be willing to work with staff from all departments to ensure quality of care for residents
- Keep environment safe and clean
- Perform other related duties as assigned by supervisor
