The Receptionist role at Catholic Hospice Services is a crucial frontline position designed to provide a positive and welcoming first impression to all visitors and callers. This full-time position is based at the Miami Lakes office and involves handling a variety of administrative and clerical duties in addition to managing telephone and visitor flow. With an hourly wage that reflects the responsibility and skills required, the Receptionist must be capable of working a flexible schedule that may include weekends and holidays, ensuring continuous coverage and support for the office.
The primary responsibilities of the Receptionist include answering and routing incoming calls promptly and courteously according to Catholic Hospice’s protocols in both English and Spanish. This multilingual communication skill is essential to serve the diverse community. The Receptionist must accurately take messages, provide information within the scope of their training, and assist visitors, including job applicants and vendors, by giving a warm and professional welcome. Organizational tasks include managing the sorting and distribution of U.S. mail and interoffice courier envelopes, as well as specific duties related to accounts payable, such as stamping and recording invoices and claims.
Aside from the reception and clerical functions, the Receptionist supports various office management activities such as maintaining the reception calendar, preparing daily absence reports for management, updating contact extensions, and monitoring reception email accounts. The role requires excellent interpersonal skills to work professionally with multiple levels of management and foster cooperation across different departments and teams. The Receptionist is also expected to maintain a neat and orderly reception area to project a professional image.
Physical requirements for this role include the ability to lift and move up to 50 pounds and push or pull items weighing over 250 pounds, as well as standing for extended periods and climbing stairs when needed. Attention to detail, strong organizational capabilities, and the ability to multitask and prioritize are vital to successfully managing competing demands. The Receptionist must work independently as well as collaboratively with various teams including Admissions, Community Relations, and interdisciplinary managers to support process improvements.

- must be able to provide own transportation to various locations as required by duties

Job Duties
- Answers calls to main lines quickly courteously and concisely following Catholic Hospice protocol in English and Spanish
- routes all incoming calls correctly to the proper person or department
- takes and relays messages accurately
- provides information within the scope of training to callers and visitors
- greets job applicants and notifies interviewer or HR Department of their arrival
- provides website information regarding online application process to job seekers
- welcomes vendors and visitors in a warm and courteous manner
- types and maintains files
- performs light bookkeeping tasks as assigned
- stamps all US Mail envelopes with a green received stamp before mail distribution
- sorts US mail and interoffice envelopes for daily mail distribution
- sorts Accounts Payable mail to respective coordinators
- stamps received date on Accounts Payable invoices and claims
- records patient record numbers on patient-related invoices and claims
- organizes material for courier delivery to and from satellite offices
- processes physician invoices by completing voucher tickets for medical review and notes receipt in system
