The role of Administrative Assistant within BI Incorporated involves providing vital clerical and administrative support to the ISAP office. This position requires working in a typical office environment with occasional local travel. The Administrative Assistant will greet and communicate with program participants, community visitors, agency personnel, and general visitors to ensure smooth operations. Essential responsibilities include checking in program participants for office visits, answering phones, directing calls appropriately, performing data entry to maintain participant case records on the computer system, and managing files and documentation. The role also involves supporting the Program Manager and Case Specialists with case coordination, communications with contracting agencies, and routine clerical tasks. This position requires strong organizational skills, attention to detail, and the ability to interact tactfully and effectively with a wide variety of people, including multi-cultural contacts.

Job Requirements

  • High school diploma or GED
  • At least two years of work experience in a similar position including experience working with multi-cultural contacts preferred
  • United States citizenship required
  • Must have lived in the United States three of the last five years (military and study abroad accepted)
  • Bilingual Spanish required
  • Good computer skills
  • Effective communication skills with internal and external contacts
  • Good interpersonal skills
  • Ability to deal tactfully with the public
  • Sound judgment and even temperament
  • Ability to maintain self-control in stressful situations such as interpersonal confrontations or emergencies
  • Ability to deal with multi-cultural contacts with sensitivity
  • Good organizational skills
  • Attention to detail
  • Working knowledge of Microsoft Word, Excel and Outlook
  • Ability to work with computers and necessary software typically used by the department

Job Duties

  • Greets and communicates with ISAP program participants, community visitors, agency personnel and general visitors
  • Ensures that program participants are properly checked in for office visits
  • Answers the phones and directs calls appropriately
  • Maintains program participant case records on the computer system by performing data entry
  • Maintains files and other related documentation
  • Assists the Program Manager and Case Specialists with case coordination, communication with the contracting agency and routine clerical tasks
  • Coordinates transportation services for program participants
  • Performs other duties as assigned
