The Receptionist & Office / Sales Support Coordinator role at DCPS is a multifaceted position designed for a proactive, organized, and personable individual who will serve as the first point of contact for visitors and callers while ensuring the smooth operation of the office. In this role, the coordinator will handle front desk responsibilities, oversee office management tasks, and provide vital administrative support to the sales team. This hybrid position requires the ability to balance various duties, including greeting visitors professionally, managing communications such as phone calls and emails, maintaining a welcoming and orderly reception area, and coordinating meeting rooms.

Additionally, the role entails managing office supplies, coordinating catering and team events, handling mail and deliveries, as well as interfacing with building management and vendors to maintain a productive workplace environment. Supporting employee onboarding by preparing workstations and welcome materials is also an important aspect of the job.

On the sales and marketing support front, the coordinator will assist in ordering branded merchandise, managing event logistics for trade shows and client meetings, tracking memberships and sponsorships, and preparing sales materials. They will play a crucial role in maintaining CRM systems by updating records and facilitating follow-ups, thereby supporting the sales team’s efficiency and outreach.

The ideal candidate is someone with 1 to 3 years of experience in administrative or office coordination roles, ideally with exposure to sales or marketing teams. Strong communication and interpersonal skills are essential, along with exceptional organizational and multitasking abilities. Proficiency in Microsoft Office Suite is required, and familiarity with CRM systems is considered a plus. Candidates with experience in event coordination and vendor management will have an advantage. Job Duties

  • Greet and welcome visitors in a professional, friendly manner
  • Answer, screen, and route phone calls, emails, and other inquiries
  • Maintain a clean, organized, and welcoming reception area and meeting spaces
  • Manage visitor sign-ins and assist with meeting room coordination
  • Order and maintain office supplies, kitchen stock, and equipment as needed
  • Coordinate office lunches, team meetings, and catering orders
  • Handle incoming and outgoing mail, packages, and deliveries
  • Liaise with building management, vendors, and service providers
  • Assist with onboarding of new employees including desk setup, key cards, and welcome kits
  • Ensure the office environment runs smoothly, safely, and efficiently
  • Order branded merchandise and coordinate shipments for events and clients
  • Assist with planning and logistics for sales events, trade shows, and client meetings
  • Track and manage company memberships, sponsorships, and subscriptions
  • Maintain a calendar of key industry events and coordinate team participation
  • Help prepare materials, presentations, and reports for the sales team as needed
  • Support CRM updates and sales-related administrative tasks such as data entry and follow-ups
