The role of Administrative Secretary/Receptionist at PruittHealth is an essential position responsible for managing the day-to-day administrative, secretarial, and receptionist duties within the facility. This position operates under the supervision of the Office Supervisor and Administrator and plays a critical role in ensuring the smooth operation of the facility through effective communication, accurate document management, and operational support. Key responsibilities include answering incoming telephone calls and directing them appropriately, maintaining confidentiality with resident and personnel information, typing documents at a proficient speed with high accuracy, and supporting the facility's overall administrative functions.

The Administrative Secretary/Receptionist acts as a vital communication conduit between residents, families, visitors, employees, and management, handling sensitive information with discretion and adhering to established privacy policies and regulations, including the Privacy Act. This role requires the ability to remain engaged in repetitive tasks, promptly recognize and report emergency situations, and provide friendly and professional interactions with all stakeholders. Additionally, responsibilities include managing the mailing of statements, assisting with payroll processes, maintaining resident and personnel files, greeting visitors, and reporting any suspicious activities within the facility.

Proficiency with office equipment such as copiers, computers, and other related machinery is essential, as is the capability to assist with supply inventory and to perform additional clerical tasks that support daily operations and special projects. This role not only requires attention to detail and organizational skills but also a willingness to collaborate and adhere to company policies and procedures while supporting the mission and values of PruittHealth.

The ideal candidate will have a high school diploma or equivalent, with at least six months of experience in payroll, insurance, or clerical roles. Preference is given to those possessing two years of relevant experience and coursework in payroll, bookkeeping, and office procedures. Job Duties

  • Answers incoming telephone calls and direct to appropriate person or department
  • Maintains confidentiality of all pertinent personnel information in accordance with the Privacy Act, as well as established personnel policies governing the release of information
  • Types documents, reports, letters, etc. at least 50 words per minute with high accuracy
  • Remains at repetitious tasks for long periods of time while completing paperwork, etc.
  • Recognizes, respond to and/or report resident emergency situations immediately
  • Maintains strict confidentiality on all facility data
  • Communicates with and supports residents, families, visitors, etc.
  • Maintains privacy of records, conditions and other information relating to residents, employees and facility
  • Performs assigned tasks in accordance with policies and procedures, and as instructed by the Administrator
