The organization operates four locations in Everett, providing skilled and sub-acute nursing, assisted living, and home health services. The company is currently seeking to hire a Receptionist/Administrative Assistant who will play a crucial role in facilitating smooth and efficient office operations. This position is a Monday to Friday role, working from 10 am to 6 pm, with a pay range between $22 and $26 per hour depending on experience. This role demands excellent organizational, communication, and interpersonal skills to manage various clerical and administrative tasks essential for supporting staff and clients. The Receptionist/Administrative Assistant will be responsible for answering and directing phone calls, welcoming visitors, managing admission packets and tours for potential residents, tracking attendance awards and employee training, recruiting assistance, handling resident surveys, and maintaining records and supplies. The role also includes scheduling and coordinating meetings and travel, preparing agendas, and ensuring smooth office maintenance. Additionally, certification as a Notary Public is required and maintained. Job Requirements

  • High School diploma or equivalent
  • Three to five years of experience in an administrative role
  • Proficient in Microsoft Office Suite or related software
  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Ability to work independently
  • Ability to read, write and communicate in English

Job Qualifications

  • Associate’s degree preferred
  • Three to five years of experience in an administrative role
  • Excellent verbal and written communication skills
  • Proficient in Microsoft Office Suite or related software
  • Excellent organizational skills and attention to detail
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Ability to work independently
  • Ability to read, write and communicate in English

Job Duties

  • Answers and transfers phone calls, screening when necessary
  • Welcomes and directs visitors and clients
  • Manages admission packets and tours for potential residents and their families
  • Tracks attendance awards and manages drawings
  • Maintains filing systems
  • Tracks employee mandatory training and continuing education credits
  • Maintains Notary certification
  • Assists HR with recruitment duties including job posting and interview scheduling
  • Conducts resident surveys
  • Retrieves information from records and prepares written summaries
  • Responds to and resolves administrative inquiries
  • Coordinates and schedules travel, meetings, and appointments for managers
  • Prepares agendas and schedules for meetings
  • Records and distributes minutes for meetings
  • Maintains office supplies and coordinates maintenance of office equipment
  • Records expenses and manages petty cash
  • Performs other related duties as assigned
