We are currently seeking an Administrative Services Coordinator to join our dedicated team. This full-time role is integral to the smooth operation of BBH’s administrative functions and serves as the welcoming face and voice of the organization. The Administrative Services Coordinator acts as the first point of contact for patients, visitors, and callers, playing a crucial role in shaping the first impressions of BBH.

This position requires a professional who is highly organized, personable, and customer-focused, capable of multitasking efficiently in a fast-paced healthcare environment. The ideal candidate will have strong communication skills and the ability to manage multiple administrative tasks simultaneously. Responsibilities include greeting visitors, managing multi-line phone systems, routing calls, handling mail and deliveries, supporting front desk coverage, and assisting with various office coordination duties.

Additionally, the Administrative Services Coordinator has vital responsibilities such as maintaining front desk procedures, training new and PRN reception staff, and handling sensitive information with the utmost confidentiality. This role contributes significantly to fostering a warm, welcoming, and organized environment that enhances the overall experience for patients, families, and staff. The position typically involves working Monday through Friday during standard business hours, from 8:00 AM to 5:00 PM, with flexibility based on organizational needs.

Job Requirements

  • High school diploma or equivalent
  • prior office, administrative, or clerical experience preferred
  • previous experience in a healthcare environment preferred
  • proficient computer skills required

Job Duties

  • Serve as the first point of contact by answering incoming calls and greeting visitors in a courteous and professional manner
  • operate a multi-line phone system, accurately routing calls and taking messages as needed
  • provide coverage for front desk operations during lunches, breaks, and staff absences
  • respond to general inquiries from patients, families, visitors, and staff
  • monitor and maintain the front lobby to ensure a welcoming and organized environment
  • process incoming and outgoing mail, deliveries, and communications
  • maintain records of front desk donations, including monetary and in-kind contributions
  • assist with administrative support tasks to ensure efficient office operations
  • train PRN and new reception staff and maintain the front desk procedures manual
  • maintain confidentiality and handle sensitive information with professionalism
  • perform other duties as assigned
