The Receptionist position at the Canteen location in Oxnard, CA, is a full-time opportunity with a competitive pay range between $21.00 and $23.00 per hour. The role is essential to ensuring a professional and welcoming atmosphere for clients, recruits, customers, and employees, as the receptionist serves as the first point of contact. The position involves handling switchboard operations, welcoming guests with courtesy and warmth, and ensuring security and comfort throughout visitors' experiences. Ideal candidates will have experience in dispatching, handling incoming calls, and managing scheduling for technicians and installations. However, Canteen is willing to train individuals to develop these skills.
Responsibilities include coordinating the daily dispatch, scheduling, and routing of maintenance technicians across multiple locations to optimize service efficiency. The receptionist plays a pivotal role in prioritizing service calls based on various logistics and priorities, serving as a communication nexus between field technicians, leadership, operations teams, and customers. Monitoring workloads, managing preventive maintenance schedules, tracking service requests and work orders, and partnering with the Maintenance Manager to support continuous improvement are key elements of the job. In addition, the receptionist upholds a culture of safety and customer service by ensuring all maintenance activities are coordinated according to company policies and standards.
This multifaceted role also involves greeting visitors, answering telephones professionally, managing conference room activities, implementing security procedures, assisting with way-finding, handling car service requests, and facilitating communication with internal support departments such as IT, building maintenance, AV technology, and mail services. The position demands someone with excellent interpersonal skills, strong organizational abilities, and a client-service mindset.

Job Requirements
- Previous dispatching experience
- Experience handling incoming calls
- Experience managing technician and installation schedules preferred
- Ability to work full time Monday through Friday with varying hours
- Strong communication skills

- Ability to manage multiple priorities efficiently
Job Qualifications
- Two to three years of experience in a client service/reception position within a hospitality or corporate environment
- Computer skills and knowledge of office technology/equipment
Job Duties
- Coordinate the daily dispatch, scheduling, and routing of maintenance technicians across Oxnard, Bakersfield, and San Luis Obispo to ensure timely service and efficient resource utilization
- Prioritize and assign service calls based on machine downtime, customer needs, technician skill sets, travel time, and operational priorities
- Serve as the primary communication hub between field technicians, leadership, operations teams, and customers regarding maintenance schedules and service status
- Monitor technician workloads, route efficiency, and work completion throughout the day, making real-time adjustments as priorities change
- Maintain and update preventive maintenance schedules to ensure equipment inspections and recurring service are completed on time
- Track service requests, work orders, parts availability, and technician progress while ensuring accurate documentation within company maintenance systems
- Partner closely with the Maintenance Manager to identify scheduling trends, improve technician productivity, and support continuous improvement initiatives across the district
- Promote a culture of safety, accountability, and customer service by ensuring maintenance activities are coordinated efficiently while supporting company policies and operational standards
- Properly greet and handle visitors with a smile and maintain eye contact through the entire interaction
- Address guests and clients by name whenever possible
- Answer telephones in a friendly, professional manner, take messages with accuracy and appropriately handle or refer questions and requests
- Handle on-floor conference room activities, both visually and by means of the reservations system, being aware of meeting start/end times, attendees in the room, food and beverage orders, etc.
- Advise the appropriate staff members of changes in meeting room status, special requests, etc.
- Implement established security policies and procedures with regard to arriving and departing visitors, contractors, delivery persons, etc.
- Act as a hospitality services resource to guests, visitors, and employees in providing way-finding and amenities within building, commutation, transportation, community retail, neighborhood amenities, and organizational information
- Handle car service requests for visitors and staff members
- Communicate requests to the appropriate internal support departments such as building maintenance (heating and cooling issues), IT (computer issues), AV technology (meeting room technical support), and mail room (package pickups and deliveries)
- Perform other duties as assigned
