We are currently seeking a Receptionist to become a key member of our team. This role involves working directly with attorneys and performing a variety of administrative support tasks crucial to the firm’s operations. As the first point of contact for clients, the receptionist plays an essential role in creating a welcoming and professional environment that reflects the firm’s dedication to client service. The ideal candidate is highly organized, responsible, and able to work independently while supporting multiple attorneys simultaneously. This hourly position offers a wage of $17 per hour and involves coordinating new client engagement, handling communications, and assisting legal staff with clerical duties.

In this role, you will greet clients as they arrive, assess their needs, and provide initial information about the firm’s services and lawyer availability. You will collect essential preliminary case details that help attorneys better understand each client’s situation. Managing telephone systems, diverting calls, and taking messages are also key functions to ensure seamless communication flow throughout the office. In addition, you will manage both incoming and outgoing correspondence, maintain office supplies, and liaise with vendors to ensure that the firm operates smoothly. Keeping conference and shared spaces tidy for client meetings and assisting with various clerical tasks further supports the firm’s commitment to professionalism and operational excellence.

Job Duties

  • greet clients as they arrive at the office and inquire into their purpose of visiting the firm
  • provide initial information regarding the firm's services and availability of lawyers
  • obtain preliminary information from new clients to determine their case histories and backgrounds
  • record all information provided by clients and forward it to lawyers or legal assistants
  • respond to telephone calls by operating PABX systems, diverting and transferring calls, and taking and relaying messages
  • handle incoming and outgoing correspondence according to established protocols and procedures
  • oversee the obtainment and storage of office supplies and equipment while creating and maintaining an effective liaison with vendors and suppliers
  • ensure that conference and shared spaces are tidy and ready for client meetings
  • assist attorneys, paralegals, and other staff with various clerical duties as needed
