The Receptionist role at Gensler is a vital position within the administrative team, serving as the first point of contact for clients, visitors, and vendors entering the office. Job Requirements

  • High school diploma or equivalent
  • 2 - 5 years of relevant experience in a customer service or receptionist role
  • Prior experience in a corporate office environment preferred
  • Strong communication skills
  • Proficient in Microsoft Office Suite
  • Ability to multitask and stay organized
  • Physically able to lift up to 50 lbs and with assistance heavier items
  • Friendly and professional demeanor
  • Ability to work full-time in Chicago, IL

Job Qualifications

  • 2 - 5 years experience in a customer service, concierge, or front desk reception role in a busy office environment
  • Prior experience in a fast-paced, corporate office setting
  • Experience in Architecture, Interior Design, Engineering, or Real Estate Development industries is a plus
  • Prior experience in an administrative, customer service, or receptionist role preferred
  • Organized and detail-oriented with the ability to prioritize tasks
  • Excellent verbal and written communication skills
  • Proficiency in Microsoft Office Suite
  • Ability to multitask while remaining detail oriented
  • Must be a people person who enjoys assisting others in their work
  • Ability to lift 50 lbs and with assistance items weighing more than 50 lbs

Job Duties

  • Meet and greet visitors in a professional, welcoming manner
  • Offer refreshments to visitors
  • Connect visitors with their Gensler hosts
  • Manage the multi-line phone system
  • Assist callers and direct them to the proper connection
  • Facilitate equipment reservations
  • Coordinate incoming and outgoing mail services including shipping labels and courier requests
  • Troubleshoot complex shipment issues
  • Maintain a neat and presentable reception lobby
  • Assist with additional administrative support tasks as needed
  • Partner with Office Services for conference room and meeting space preparation
  • Receive and direct catering orders for setup
  • Ensure high housekeeping standards are maintained
  • Communicate with employees requesting meeting services to verify requirements and expedite changes
  • Report failed equipment, technology resources, furniture repair, and maintenance issues to Facilities Manager
  • Print and hang signage such as event posters and out of order signs
  • Monitor Office Services mailbox and respond to inquiries promptly
  • Maintain the office seating chart through WISP
