Job Description

Sea Mar Community Health Centers is a well-established Federally Qualified Health Center (FQHC) founded in 1978, dedicated to delivering comprehensive health, human, housing, educational, and cultural services. The Front Desk Receptionist role at Sea Mar is a pivotal position, serving as the essential link between patients and the healthcare facility. This is a front-facing role where the receptionist embodies the organization's core values of respect, dignity, and client-centered service. Responsibilities go beyond simple administrative duties to include empathetic client interactions, advocacy for patient needs, and maintaining a high standard of client service and operational efficiency. Daily tasks include managing all front desk activities such as answering phones promptly and professionally, scheduling and confirming patient appointments, assisting with medical and dental records processing, collecting patient payments accurately to maintain a 100% collection rate, and supporting patients in accessing a broad spectrum of health services. The receptionist also contributes to maintaining a sanitized and welcoming workspace, distributing mail, entering patient demographics into practice management systems, and working collaboratively with clinical staff to ensure quality care measures are met.

Sea Mar emphasizes a high level of professionalism expected in all patient communications, including adhering to protocol in answering calls within three rings, greeting patients courteously, and managing call wait times effectively. Performance metrics include maintaining an average daily patient registration schedule aligned with provider capabilities, supporting timely chart note closures, and promoting enrollment in digital health resources like Follow My Health.

This role requires a candidate with strong organizational skills, attention to detail, proficiency with multi-line phone systems, and the capacity to manage multiple tasks effectively. English-Spanish bilingual skills are preferred to better serve the diverse community. Educationally, a high school diploma or GED is necessary, with prior experience in healthcare settings preferred. Candidates must pass pre-hire and probationary competency tests and submit to annual health screenings and mandatory vaccinations for COVID-19 and influenza, reflecting Sea Mar's commitment to patient and employee safety.

Job Requirements

Job Duties

  • Maintain a clean and healthy workspace and patient area
  • responsible for all daily front desk activities to ensure completion
  • answer the telephone and assist callers
  • schedule and confirm patient appointments according to the Front Desk Manual
  • maintain an average daily registration schedule of 21 patients per MD provider and 18 patients per ARNP/PA provider or handle 70 phone calls, depending on role
  • assist the medical/dental records department by scanning, queuing/indexing, sorting, filing, and pulling charts as needed
  • distribute and screen all incoming and outgoing mail
  • maintain a 100% collection rate by collecting patient account payments and balances
  • assist patients in filling out registration forms and accessing health care services
  • inform patients about other health centers and community services
  • accurately enter patient demographic information into the practice management system
  • demonstrate care appropriate to the age of patients served
  • work as a team with back office to ensure clinical quality measure gaps are addressed
  • prepare to assist others as needed in the front desk team
  • acknowledge each patient’s arrival with a smile and offer assistance
  • address patients by last name
  • answer each call within three rings
  • use professional and sincere greetings on calls
  • never place calls on hold for longer than two minutes without checking in
  • adhere to schedule and be ready by 8 am
  • provide services using AIDET skills
  • complete quality care gaps for 100% of patients treated
  • provide services to a minimum of ten patients a day
  • support Follow My Health enrollment
  • close chart notes within 24 hours of service
  • support and maintain patient visit averages per provider
