The role of Receptionist at RML Specialty Hospital is a vital part-time position offering 40 hours per pay period with shifts from 6:30 am to 2:00 pm and 1:00 pm to 9:00 pm, including rotating weekends and holidays. This role is classified as a 0.5 Full-Time Equivalent (FTE), making it suitable for professionals seeking flexible schedules with benefit eligibility. Compensation is determined based on job-specific requirements, individual experience, internal pay equity, and organizational budget considerations aligned with the hospital's compensation philosophy. Employees in this position may also be eligible for a discretionary annual incentive program that reflects both individual performance and the organization's success.

In this role, the receptionist will report directly to the Director of Ancillary Services. The incumbent will be responsible for answering, screening, and directing all incoming calls, greeting and registering visitors, and providing secretarial support to multiple departments. The receptionist plays an essential part in monitoring the fire alarm system and making announcements of emergency codes, thereby contributing to the hospital's safety protocols. This position requires maintaining confidentiality of patient, personnel, and hospital proprietary information at all times while supporting hospital and departmental policies.

Receptionists at RML Specialty Hospital are ambassadors of the hospital’s mission and vision, exemplifying the principles of the Language of Caring in all interactions with patients, families, and colleagues. The role requires managing multiple telephone lines professionally and ensuring visitors are properly registered, monitored, and directed. Supporting infection control by educating visitors about the use of personal protective equipment (PPE) when necessary is also a critical responsibility. In addition, receptionists assist other departments by facilitating patient admissions, room transfers, and discharges, as well as the processing and distribution of mail, vending refunds, and other clerical duties.

This position involves significant multitasking such as handling multiple incoming lines, maintaining census reports of in-house patients, ensuring adequate visitor management, and inventory control of office supplies. Proficiency in PC-based word processing, spreadsheet, and presentation programs are important, alongside the ability to prepare accurate reports and tracking systems. The role demands excellent communication skills to interact professionally with visitors, patients, and other hospital staff.

Job Qualifications

Job Duties

  • Supports the mission and vision of RML Specialty Hospital by demonstrating core values of service, teamwork, accountability, integrity, respect and stewardship
  • Maintains and protects confidentiality of patient, personnel and hospital proprietary information
  • Understands and complies with all hospital and departmental policies and procedures
  • Receives and screens all main hospital telephone incoming line calls and transfers to appropriate personnel or departments according to HIPAA guidelines
  • Responsible for overhead paging calls
  • Greets, registers, and directs visitors to appropriate locations and checks out visitors as they leave
  • Monitors restricted visitor list and extended visiting hours, entering alerts in visitor management system
  • Follows procedure for notifying departments when visitors arrive and works with security
  • Monitors fire alarm system and announces all EICS codes
  • Educates visitors on use of PPE per infection prevention guidelines and ensures adequate supply of gowns and gloves
  • Assists admitting department with patient signatures, photocopying insurance cards and IDs, room transfers and discharges
  • Sorts and distributes US and interoffice mail daily
  • Maintains census reports of all in-house patients by room number, care coordinator, phone extension, visitation and isolation status
  • Processes vending refunds and sales of postage stamps and movie tickets
  • Maintains and stocks office supplies and logs including gowns, gloves, visitor labels, tour logs, copier repair logs and vending refund bag
  • Performs other duties as assigned
