The role of Receptionist within the Operations department is critical to the smooth functioning of Harmony Health Group's programs. Reporting directly to the Program Manager, the Receptionist manages the program's telephone system, serving as the initial point of contact for clients, visitors, and staff. This position requires exceptional interpersonal skills, attention to detail, and a friendly, helpful attitude. The Receptionist is responsible for answering and directing calls courteously and efficiently, taking accurate messages, maintaining communication flow within the program, and ensuring a welcoming and clean main lobby area.

Beyond the receptionist duties, this role also includes maintaining administrative and clinical supplies, managing medical record storage and security, handling correspondence accurately, and supporting staff with communication needs. The Receptionist upholds strict confidentiality of patient information in compliance with facility policies and federal and state regulations. There are also opportunities to engage in special projects and contribute to a positive work environment by addressing problems proactively and demonstrating accountability.

  • 1 year of customer service experience

Job Duties

  • Answers telephone courteously and efficiently and direct calls as requested
  • takes messages accurately and routes them as designated
  • acts as a center of communication for program, facilitating the flow of information from outside and within
  • receives visitors and ensures that they are appropriately accommodated
  • protects the confidentiality of patients and the privacy of staff
  • uses computer to type correspondence, reports and other items as requested, ensuring accuracy
  • maintains assignment boards, bulletin boards and other communication sources
  • maintains supplies of administrative and clinical forms, ensuring copies are neat and up to date
  • maintains medical record storage areas and ensures security of records
  • provides medical record information to agencies and individuals requesting it with valid release
  • obtains information from referring agencies and others as requested by clinical staff
  • breaks down medical record charts after patient discharge, ensuring completeness
  • relates to patients and staff in a friendly, helpful manner
  • addresses problems noted by supervisor and demonstrates willingness to accept responsibility
  • protects the privacy of all patient information per facility policies and laws
  • performs other duties assigned
