The role of Receptionist based in Trafigura's Houston office is a pivotal front-of-house position that demands professionalism, discretion, and exemplary hospitality skills. This position is responsible for managing all visitor and guest interactions at the office, ensuring that every visitor, including senior executives, government officials, dignitaries, and other high-profile guests, receives a warm and polished welcome that reflects the company's global standing. The Receptionist acts as the first point of contact and is expected to handle all reception duties with the highest standards of efficiency and confidentiality.
Apart from visitor management, the Receptionist provides vital administrative and facilities support to maintain smooth daily office operations. This includes managing the main office switchboard, directing calls, handling correspondence and courier services, and coordinating meeting room bookings and catering. The Receptionist also supports health, safety, and security procedures, manages office supplies, and assists with onboarding logistics for new employees.
This role requires exceptional organizational, interpersonal, and communication skills, as well as the ability to operate in a fast-paced environment where attention to detail and calm under pressure are essential. Candidates must have a strong command of visitor management systems and office software, along with experience managing VIP visits and familiarity with corporate security protocols. Fluency in English is required, and additional language skills such as Spanish are a plus.

Job Requirements
- Minimum 5 years of experience in front-of-house or executive hospitality roles
- Experience managing high-profile visitors including executives and government officials
- Strong communication skills and professional demeanor
- Proficiency with visitor management and office systems
- Ability to maintain confidentiality and discretion
- Excellent organizational and multitasking abilities
- Calm and proactive under pressure
- Fluent in English
- Knowledge of security and access protocols in corporate offices
Job Qualifications
- Minimum 5 years of experience in a front-of-house, reception, or executive hospitality role, preferably within corporate, financial services, energy, or professional services environments
- Demonstrated experience managing high-profile visitors including C-suite executives, government officials, or VIP guests
- Exceptional interpersonal and communication skills, both verbal and written, with a polished and professional demeanor
- Strong command of visitor management systems, switchboard/multi-line phone systems, and Microsoft Office Suite
- High degree of discretion and confidentiality in handling sensitive information
- Excellent organizational skills with the ability to manage competing priorities in a fast-paced environment
- Proactive problem-solver with a calm, composed manner under pressure
- Fluency in English required

- Familiarity with security and access control protocols in a corporate setting
Job Duties
- Serve as the primary point of contact for all visitors to the Houston office, ensuring a warm and professional welcome
- Manage reception of high-profile visitors including CEOs, board members, government officials, politicians, and dignitaries, coordinating protocols with internal stakeholders and security
- Maintain thorough understanding of visitor management procedures such as pre-registration, ID verification, access badge issuance, and escort coordination
- Liaise with executive assistants and senior leadership teams ahead of VIP visits to ensure all arrangements are in place
- Manage the main office switchboard, directing calls accurately to appropriate individuals or departments
- Handle incoming and outgoing correspondence, courier services, and mail distribution
- Coordinate meeting room bookings and arrange catering and hospitality for meetings and events
- Monitor and manage the reception area and lobby to maintain a presentable corporate image
- Support the Regional Facilities Manager with day-to-day office operations, vendor coordination, and facilities-related administrative tasks
- Assist with onboarding logistics including access passes and building orientation
- Maintain office supplies inventory and coordinate replenishment
- Support health, safety, and security procedures including emergency evacuation protocols
