PeopleTec is currently seeking a highly organized, customer-focused Receptionist to join its corporate office team in Huntsville, AL. This is a critical role that serves as the very first impression of the company to visitors and callers. The Receptionist plays a vital part in ensuring the smooth operation of the corporate office and supporting over 700 employee-owners. The position offers an hourly wage ranging from $15 to $18, which is commensurate with the candidate’s education and years of experience.
The Receptionist’s responsibilities span front desk and visitor management, administrative and office operations, event and program support, and general office assistance. Core duties include welcoming visitors and maintaining visitor logs and badges, answering incoming calls, managing the professional appearance of reception and common areas, and maintaining supplies and inventory. Additionally, this position supports conference room scheduling, coordinates company-wide communications, and assists with social media as needed.
Beyond daily office tasks, the Receptionist plays an essential role in supporting company morale and events by leading initiatives such as Marine’s Day, Certification Nation Day, and other employee engagement activities. They also coordinate company donations, sponsorship requests, and refreshments for executive meetings. The role requires someone who can thrive in a fast-paced workplace, balancing multiple priorities with ease while maintaining a warm and professional demeanor.
Applicants should possess at least one year of administrative support experience, demonstrate proficiency with Microsoft Outlook, Word, PowerPoint, and Excel, and have excellent oral and written communication skills. Strong organizational, multitasking, and time management capabilities are essential. Candidates must be able to remain professional under pressure, be willing to work occasional non-standard hours for events, travel as needed (15% or more), and have U.S. citizenship alongside a valid driver’s license.

Job Requirements
- At least 1 year of experience in an administrative support role
- Proficiency with Microsoft Outlook calendar and email
- Strong skills in Microsoft Word PowerPoint and Excel
- Excellent oral and written communication skills
- Strong organizational multitasking and time-management abilities
- Ability to remain professional under pressure and challenging situations
- Willingness to work occasional non-standard hours for events
- Ability to travel 15 percent or more
- U.S. citizenship
- Valid driver's license
- Ability to lift carry push or pull 25 pounds
- Ability to work in a standard office setting and use standard office equipment
- Stamina to sit and maintain attention to detail despite interruptions
- Flexibility to work varying hours as needed
Job Qualifications
- 1 year experience in administrative support role
- 1 year experience with Microsoft Outlook including calendar and email
- Proficiency in Microsoft Word PowerPoint and Excel
- Excellent communication skills both oral and written
- Strong organizational multitasking and time-management skills
- Ability to remain professional under pressure
- Willingness to work occasional non-standard hours for events
- Ability to travel 15 percent or more
- U.S. citizenship required
- Valid driver's license
- Associate's Degree preferred
- Previous event planning experience preferred
- Proficiency in SharePoint preferred
Job Duties
- Provide primary front desk coverage for the corporate office
- Greet and assist visitors and maintain visitor logs and badges
- Answer screen and forward incoming calls
- Maintain professional appearance of reception conference rooms and other common areas
- Order and maintain inventory for corporate facilities
- Coordinate shipping mailing and office supply purchasing
- Assist with conference room scheduling and meeting support
- Organize notes for Executive Staff Meetings
- Send company-wide holiday reminders and communications
- Provide responsive support to all employee-owners assisting with a wide range of tasks
- Provide social media assistance
- Lead morale initiatives such as Marine's Day Certification Nation Day and Continuous Learning swag orders
- Track and coordinate company birthday morale
- Manage all company donations and sponsorship requests
- Coordinate lunches and refreshments for executive-level meetings
- Assist in planning and executing company events and serve as backup to the event planner
- Perform clerical duties including copying filing and distributing correspondence
- Maintain a safe and secure office environment
- Provide accurate information to internal and external inquiries
