Job Description

Aria Community Health Center (ACHC) is a dedicated Federally Qualified Health Center and licensed primary care clinic serving Fresno, Kings, and Tulare counties. ACHC is committed to enhancing the health and well-being of the community through comprehensive medical and dental services. It provides specialized care in areas such as Chiropractic, Internal Medicine, Neurology, Pediatrics, Psychology, Podiatry, and Optometry, offering accessible healthcare to diverse populations within these counties. The Receptionist position at ACHC is a vital role acting as the initial point of contact between patients and the healthcare team. This role bridges administrative tasks with frontline patient interaction, making it essential for maintaining smooth clinic operations and fostering positive patient experiences. The receptionist is responsible for providing excellent customer service, managing patient flow, handling communications, and supporting clinical staff efficiently. This position demands flexibility, strong communication skills, and an unwavering commitment to confidentiality and HIPAA compliance to safeguard patient information.

In this role, the receptionist performs various administrative duties including word processing, data entry, phone management, and general office tasks. They greet and assist patients and visitors warmly, schedule appointments, update patient information, assist with insurance enrollment, and confirm coverage. The role requires close collaboration with internal departments and external agencies to ensure all patient needs are met, with particular attention given to those without medical coverage by offering enrollment assistance for programs such as Medi-Cal and Covered California.

The receptionist must maintain a professional, organized front-desk area and handle patient payment balances courteously, while also resolving conflicts and referring complex issues to appropriate personnel. This position demands cultural sensitivity and the ability to work effectively with a diverse patient population, including bilingual communication skills in Spanish and English, which is highly preferred. Job Requirements

  • Graduation from high school or equivalent
  • Minimum six months medical receptionist experience
  • Ability to maintain confidentiality under HIPAA
  • Excellent interpersonal and customer service skills
  • Flexibility to adapt to changing needs
  • Ability to communicate effectively verbally and in writing
  • Basic math and computer proficiency
  • Ability to work under pressure and minimal supervision
  • Must be bilingual Spanish/English preferred

Job Qualifications

  • Graduation from high school or equivalent
  • Six months of medical receptionist experience in a healthcare or comparable setting
  • Prior administrative or clerical experience in clinical or community setting highly preferred
  • Ability to maintain confidentiality under HIPAA
  • Excellent customer service and interpersonal skills
  • Cultural sensitivity and ability to work with diverse groups
  • Intermediate to advanced phone skills
  • Highly flexible and able to accommodate changing departmental needs
  • Well-developed verbal and written communication skills
  • Bilingual ability in Spanish and English preferred
  • Knowledge of basic math and office procedures
  • Ability to work under pressure and minimal supervision
  • Basic to intermediate computer skills
  • Ability to type minimum of 45 WPM
  • Ability to operate a 10-key calculator preferred

Job Duties

  • Performs day-to-day administrative functions including word processing, copying, scanning, faxing, answering phones and data entry
  • Provides information and transfers calls according to ACHC’s policies
  • Welcomes and greets patients, clients, and visitors, determining the purpose of visit and directing accordingly
  • Schedules patient appointments and manages clinic flow to meet community needs
  • Screens patients for new addresses, new visits, and updates registration information
  • Identifies patients without medical coverage and assists with enrollment in health plans such as Medi-Cal and Covered California
  • Follows up with patients post-enrollment and communicates updates to billing
  • Adheres to safety and confidentiality policies including HIPAA compliance
  • Maintains patient waiting areas and front desk in an organized and neat manner
  • Informs patients of balances and requests payments at time of visit
  • Calls patients to confirm appointments
  • Verifies methods of payment and collects data or payments
  • Exercises problem-solving skills in handling patient complaints and refers as needed
  • Attends departmental and clinical meetings
  • Performs other assigned duties
