Job Description

The City of Stow is a well-established municipal government entity dedicated to providing efficient services and fostering a positive community environment for its residents and visitors. The Mayor's Office is central to the administration of the City of Stow, overseeing various departments and ensuring that city operations run smoothly and in compliance with all relevant regulations and policies. The office is responsible for implementing the mayor’s vision and policies, working closely with city officials, staff, and the public to facilitate transparent and effective governance.

The Mayor's Office is currently seeking a Receptionist to join its Administration Division. This position plays a crucial role in maintaining the flow of communication within the office and with the public. The Receptionist is responsible for performing routine clerical duties that involve moderately complex work methods and problem-solving skills. This role requires skilled typing ability, intermediate to advanced aptitude with software applications, and the ability to manage record-keeping related to departmental finances including operating and capital funds.

As a Receptionist in the City of Stow, the successful candidate will provide frontline customer service by answering telephone calls, directing visitors, and answering inquiries or complaints with a solid understanding of department policies and procedures. Additional responsibilities include preparing and editing correspondence, reports, memos, and statistical tabulations, ensuring accuracy, content judgment, and completeness. The Receptionist works under the direct supervision of the Supervisor in the Mayor’s Office but does not have supervisory responsibilities themselves.

This position also supports various departments by assisting with administrative functions such as processing recreation program registrations, mailing public notices for Planning Commission and Board of Zoning Appeals meetings, maintaining office inventory, and ordering supplies. The Receptionist acts as secretary to certain city commissions such as Urban Forestry and the Commission on Inclusion, transcribing minutes as needed. Proficiency in Microsoft Office and other computer software is essential due to frequent data entry and report compilation tasks.

The position is classified by the Stow Municipal Civil Service Commission, designated as Non-Exempt under the Fair Labor Standards Act, and not included in any collective bargaining agreement. The City of Stow values regular, reliable, and punctual attendance as essential for this role, recognizing the importance of teamwork and the limited number of employees available to carry out critical duties for the community.

Job Requirements

  • Graduated from high school or GED equivalent
  • Three to seven years working in an administrative role or equivalent education, training, and experience
  • Proficient in Microsoft Office
  • Knowledge of business English, punctuation, arithmetic, spelling, and office practices
  • Possess and maintain valid State of Ohio Driver's License
  • Possess and maintain valid Ohio Notary Public certification
  • Ability to communicate effectively both orally and in writing with city employees, officials, and the public

Job Qualifications

  • Three to seven years of experience in an administrative role or equivalent combination of education and experience
  • Proficiency in Microsoft Office
  • Knowledge of business English, punctuation, arithmetic, spelling, and modern office practices
  • Ability to establish and maintain effective working relationships
  • Strong oral and written communication skills
  • Valid State of Ohio Driver's License
  • Valid Ohio Notary Public certification

Job Duties

  • Composes, types, and edits correspondence, reports, memos, and statistical tabulations
  • Reviews documents for sufficiency, obtains necessary signatures, and routes appropriately
  • Provides information in person or by telephone to other departments and the public regarding policies and procedures
  • Answers incoming telephone calls and directs visitors for City Hall, assists with questions, requests, or complaints
  • Acts as secretary to the Urban Forestry and the Commission on Inclusion and transcribes minutes
  • Inputs data into office and department forms and compiles data for reports
  • Maintains accounting of department expenditures and revenues as backup to the Supervisor
  • Assists various departments with administrative functions including recreation program registration
  • Prepares requisitions, updates inventory, and orders office supplies
  • Maintains the Digital Sign Board and processes related requests
  • Notarizes documents as needed
  • Complies with all City and department policies, rules, and procedures
  • Operates office equipment including computers, fax, copy machine, calculator, and telephone
  • Ensures regular attendance and punctuality
  • Performs other related duties as assigned
