This full-time, in-office role requires a presence Monday through Friday, from 8:30 am to 5:30 pm, and reports directly to the Office Services Manager. The Receptionist will serve as the foremost point of contact for visitors, embodying the firm’s professionalism and welcoming spirit. In addition to managing all incoming calls — both local and national — the Receptionist plays a key role in coordinating various administrative duties essential to maintaining smooth office operations. This position is integral in handling visitor check-ins, scheduling conference room reservations, managing catering orders for meetings, and overseeing transportation arrangements for internal and external clients.\n\nFlexibility is valued in this role, as overtime may occasionally be required to support critical office functions. The Receptionist will be expected to maintain visitor and delivery logs with precision, uphold strict confidentiality, and consistently demonstrate outstanding interpersonal communication skills. The successful candidate will be proactive, detail-oriented, and capable of working independently while fostering a positive client service experience. They will also be open to embracing emerging technologies, including familiarity with AI tools such as Microsoft Copilot and ChatGPT, to enhance daily workflow and maximize efficiency. Job Requirements
- High School Diploma
- Minimum 2 years of experience as a receptionist or other administrative clerical position in a professional environment
- Proficiency with Windows-based software and Microsoft Word, Excel and Outlook required
- Excellent interpersonal and communication skills

- High School Diploma
- College Degree in Hospitality Management is a plus
- Minimum 2 years of experience as a receptionist or other administrative clerical position in a professional environment
- Proficiency with Windows-based software and Microsoft Word, Excel and Outlook required
- Exceptional computer skills with the ability to learn new software applications quickly
- Demonstrates a basic understanding of artificial intelligence (AI), including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment
- Familiarity with or willingness to learn AI platforms (e.g., Microsoft Copilot, ChatGPT, or similar tools) and incorporate them responsibly into day-to-day workflows to enhance daily work tasks as appropriate and/or directed
- Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation
Job Duties
- Acts as first point of contact for all visitors
- Greets visitors and promptly notifies internal parties of arrival
- Answers incoming calls (locally and nationally) and directs them appropriately
- Coordinates conference room reservations and proactively monitors conference room schedule to avoid conflicts
- Orders catering for all meetings and maintains a good rapport with caterers
- Coordinates transportation needs for internal and external customers, including cabs and car services to airport, court, etc.
- Reserves visitor offices as needed and accommodates visitors upon arrival
- Accurately and thoroughly maintains visitor/delivery logs and outgoing package logs
- Ensures all visitors check in at reception immediately upon arrival to maintain security
- Maintains high degree of professionalism and confidentiality
- Assists with other department activities as needed, and performs additional duties and responsibilities as assigned
