The role of Front Desk Receptionist at People Inc. is a vital part of the organization's daily operations. This position plays a key role in greeting visitors and employees, ensuring the security of the lobby area by verifying visitor purposes, managing telephone communications, and providing information about the organization. Working Monday through Friday from 12:15 pm to 4:15 pm, the role offers hourly pay ranging from $16.00 to $18.50. As the first point of contact, the receptionist is responsible for operating the telephone system, answering incoming calls, directing callers to appropriate personnel, and managing messages efficiently. Additional responsibilities include updating room schedules, receiving and sorting mail and deliveries, and performing various clerical duties such as photocopying, processing mailings, and assisting with special projects. The receptionist is also tasked with opening and closing the switchboard and reception desk each day, maintaining compliance with all agency policies and procedures.

This position requires a candidate who can handle extended periods of sitting, as well as be organized, communicative, and detail-oriented. Although there are no supervisory responsibilities attached to this role, the receptionist is expected to contribute to a welcoming and secure office environment. Job Duties

  • Greets visitors and employees
  • operates telephone system to answer incoming calls and directs caller to appropriate personnel
  • secures lobby by verifying purpose of visit prior to providing access to office
  • retrieves messages from voicemail and forwards them to appropriate personnel
  • answers incoming telephone calls determines purpose of callers and forwards calls to appropriate personnel or department
  • takes and delivers messages transfers calls to voicemail when appropriate personnel are unavailable
  • greets on-site visitors secures lobby by appropriate actions verifies purpose of visit and announces visitors to the appropriate personnel
  • answers questions about organization and provides information
  • updates room schedule and calendars using Xibo Digital Signage Board
  • receives deliveries sorts mail and distributes to departments as needed
  • performs clerical duties such as photocopying processing mailing or other special projects
  • responsible for forwarding night phone messages and faxes to appropriate person
