The firm is currently offering an exciting opportunity to join their Administrative Team as a Receptionist at the Tallahassee office. This full-time, in-office role operates during regular business hours from Monday to Friday, 8:30 am to 5:30 pm. The position reports directly to the Office Services Manager and plays a crucial role in the daily functioning of the office by acting as the primary point of contact for visitors and callers.
As a Receptionist at Greenberg Traurig, you will be the face and voice of the firm, responsible for managing incoming calls and visitors with professionalism and a welcoming demeanor. You will coordinate meeting room reservations, order catering, and assist with transportation arrangements, ensuring smooth and efficient office operations. The role requires excellent interpersonal skills, attention to detail, and the ability to multitask effectively in a fast-paced environment.

Job Requirements
- High School Diploma
- Minimum 2 years of experience as a receptionist or other administrative clerical position in a professional environment
- Proficiency with Windows-based software and Microsoft Word, Excel and Outlook
- Excellent interpersonal and communication skills oral and written
- Professional demeanor and presentation
- Ability to work independently with minimal supervision
- High attention to detail
- Outstanding organizational skills
- Willingness to work overtime as needed
- Familiarity with or willingness to learn AI platforms
- Ability to maintain a high degree of professionalism and confidentiality
Job Qualifications
- Excellent interpersonal and communication skills oral and written, professional demeanor and presentation
- Provides outstanding client service meets high quality standards for services and meets or exceeds client expectations proactive in seeking innovative ways to help others
- Candidate must be a self-starter who can work independently with minimal supervision
- High attention to detail, outstanding organizational skills and the ability to manage time effectively
- High School Diploma college degree in Hospitality Management is a plus
- Minimum 2 years of experience as a receptionist or other administrative clerical position in a professional environment
- Proficiency with Windows-based software and Microsoft Word, Excel and Outlook required
- Exceptional computer skills with the ability to learn new software applications quickly
- Demonstrates a basic understanding of artificial intelligence AI, including core capabilities, limitations, and importance of data privacy, accuracy, verification, and ethical considerations within a professional services environment
- Familiarity with or willingness to learn AI platforms e.g., Microsoft Copilot, ChatGPT, or similar tools and incorporate them responsibly into day-to-day workflows
- Proactive approach to learning and adapting to emerging AI and related technologies and contributes to a culture of innovation
Job Duties
- Acts as first point of contact for all visitors
- Greets visitors and promptly notifies internal parties of arrival
- Answers incoming calls locally and nationally and directs them appropriately
- Coordinates conference room reservations and proactively monitors conference room schedule to avoid conflicts and resolves minor issues relating thereto
- Orders catering for all meetings and maintains a good rapport with caterers
- Coordinates transportation needs for internal and external customers, including cabs and car services to airport, court, etc
- Reserves visitor offices as needed and accommodates visitors upon arrival
- Accurately and thoroughly maintains visitor and delivery logs and outgoing package logs
- Ensures all visitors check in at reception immediately upon arrival to maintain security
- Maintains high degree of professionalism and confidentiality
- Assists with other department activities as needed, and performs additional duties and responsibilities as assigned
