The company is seeking a dedicated Receptionist to join their Austin office team. This role is critical in upholding the professional image and operational smoothness of the office facility. The Receptionist will be the first point of contact for visitors, clients, vendors, and subcontractors, ensuring they are greeted warmly and assisted efficiently. The position involves managing a variety of administrative duties, including handling multi-line phone systems, managing incoming and outgoing mail and packages, and maintaining office supplies and equipment. Additionally, the Receptionist will support the executive team, particularly the VP of Construction Services, by managing correspondence, agendas, and report compilation. They will also oversee vendor relationships related to office and kitchen supplies and coordinate office events by arranging catering and meetings.
This full-time role offers a stable work schedule primarily during business hours, Monday through Friday from 8 a.m. to 5 p.m. The successful candidate will play an integral role in ensuring the office runs seamlessly and that staff members have the support they need to perform their roles effectively. Strong organizational skills, attention to detail, and the ability to handle multiple tasks simultaneously are essential for success in this position. Job Requirements
- High school diploma, GED, or equivalent
- At least 3 years of experience in an office setting as an office management/administrator
Job Qualifications

Job Duties
- Coverage of the reception area during office hours
- Greet and serve as helpful point of contact for visiting clients, vendors, subcontractors, and other guests
- Answer, handle, and transfer incoming calls
- Open, sort and distribute incoming mail, packages, and incoming faxes
- Handle all shipping and receiving services, including tracking outgoing packages with overnight shipping companies, couriers, and other vendors
- Set up conference calls for meetings
- Manage vendor relationships for office supplies, kitchen, and printers/copiers
- Ensure all printers/copiers are fully stocked and in good working order
- Order, maintain, and stock office products, maintaining inventory with oversight and approval
- Order, maintain, and stock kitchen supplies and maintain inventory
- Assist in facilitation of the Burt’s Bazaar including inventory, stocking, and ordering items
- Ensure coffee areas are stocked at all times
- Order catering and meals for office staff as requested including setup and cleanup
- Ensure tidiness of the entire office, including conference rooms, kitchen, printer areas, and common areas
- Maintain Front Desk Reference Guide and update information
- Serve as Executive Assistant for the VP of Construction Services for administrative tasks
- Serve as point-of-contact for Field Employees requiring Home Depot Purchase Orders or credit card payments
- Ensure Purchase Orders are entered timely and backed up properly
- Assist all company departments as requested
- Perform other duties as assigned
