The role of the Receptionist at Independent Adult Day Centers is vital in maintaining the center’s welcoming atmosphere and operational efficiency. The Receptionist is responsible for managing the reception area and acting as the first point of contact for all guests, visitors, families, and callers. This position supports the center’s leadership by handling various administrative tasks, including filing, scanning, printing, and data entry, specifically relating to guest attendance and inquiries. Additionally, the Receptionist plays a key role in scheduling tours, assessments, and managing transportation schedules, ensuring smooth communication flow within the center. The individual in this role must consistently demonstrate exemplary customer service skills, handle multiple responsibilities with professionalism, and maintain confidentiality in compliance with HIPAA and other regulatory standards.

This full-time position reports directly to the Executive Director and requires the ability to interact effectively with guests and staff alike, ensuring that all interactions contribute to a respectful and safe environment. The Receptionist must remain alert throughout their shift, be capable of crisis intervention when necessary, and participate in regular training to maintain competency. Beyond routine duties, this role includes miscellaneous tasks assigned by leadership, emphasizing flexibility and a team-oriented attitude. The ideal candidate will demonstrate proficiency with computer applications such as Microsoft Word, Excel, and email systems, and embody a calm, positive demeanor even in challenging situations. Job Requirements

  • High school diploma or equivalent
  • Previous experience in customer service and clerical duties preferred
  • Proficient computer skills including Microsoft Word, Microsoft Excel and email systems
  • Positive attitude and ability to work with interdisciplinary teams
  • Valid driver's license in state of residence
  • Qualifying criminal background check and driving record check
  • Ability to demonstrate competence in required training areas
  • Ability to calmly and repetitively model appropriate behavior in difficult or challenging situations
  • Ability to research how to do specific tasks assigned if instructions are not provided

Job Duties

  • Greet and screen all guests and visitors
  • Assist guests, families, and visitors with the sign in and sign out process
  • Assist guests, families, and visitors with the doors as needed
  • Answer phone calls, respond to general inquiries or transfer calls to appropriate individuals
  • Use instructions to alter and create schedules for appointments and visits
  • Assist Executive Administrative Assistant with entering changes in transportation schedules
  • Enter inquiry calls into Center CRM software
  • Assist in ensuring guests and families receive needed correspondence
  • Comply with HIPAA and other state and federal guidelines
  • Maintain knowledge of ongoing activities, events and outings
  • Communicate professionally
  • Execute duties reflecting reasonable safety standards including universal and standard precautions
  • Remain alert and stay at designated work area during shifts unless permitted otherwise
  • Participate in required core training and maintain certifications
  • Provide crisis intervention and access emergency services as needed
  • Ensure individuals supported are treated with dignity and respect according to Independent Adult Day Centers Human Rights Policy
  • Complete miscellaneous tasks assigned by leadership or staff
  • Receive, open, sort mail and prepare outgoing mail with correct labeling and inserts
  • Print marketing materials and assemble folders for tours and assessments
  • Perform other job duties as needed
