Job Description

The hiring establishment is a Catholic parish within the Diocese of Austin that diligently fulfills its mission by fostering a spiritual community centered on Gospel values and the teachings of the Catholic Church. This church serves not only as a place of worship but also as a vibrant community hub dedicated to extending the ministry of Christ through its staff and ministries. The position offered is that of a Receptionist, a crucial role that personifies the welcoming spirit and administrative backbone of the parish. This full-time role requires someone with a patient and friendly demeanor, who can serve as the first point of contact for both parishioners and visitors, embodying the church's mission through effective communication and organizational skills. The Receptionist helps sustain the parish’s daily operations by managing phone lines, scheduling, handling mail and donations, and providing essential support to various ministries and parish activities. This role involves working closely with the Pastor and Parish Administrator who provide direct oversight and evaluation. Employment in this position is deeply integrated with the ministry of the Church, requiring adherence to the Diocese’s Code of Conduct and Ethics and Integrity in Ministry policies. The Receptionist will also support parish events, ensuring the smooth functioning of facilities and hospitality for church services.

The role demands a proactive individual capable of multitasking in a fast-paced environment where flexibility is critical. The Receptionist must maintain confidentiality on sensitive matters and exhibit a strong commitment to Catholic teachings, acting as a witness to Gospel values in daily interactions. In this capacity, the Receptionist will answer multi-line phones, greet guests, monitor campus access, and facilitate room reservations and Mass intentions. Additionally, they assist with various outreach programs and parish hospitality efforts, serving as a reliable backup for school and Sunday hospitality functions. The job requires computer literacy, organizational skills, and the ability to work collaboratively within the church community. The ideal candidate will have 3-5 years of receptionist experience and a working knowledge of both English and Spanish is preferred but not mandatory. Also required is a valid Texas driver’s license and compliance with diocesan ethical standards. The Receptionist is expected to work Monday through Wednesday from 8:30 a.m. to 5:30 p.m., with occasional weekend or holiday commitments as dictated by parish needs, reflecting the dynamic and sacred nature of parish ministry.

Job Qualifications

  • High School Diploma or GED acceptable to Texas Education Agency
  • 3-5 years experience as a receptionist preferred
  • knowledge of the basic teachings of the Catholic Church
  • ability to communicate effectively in both written and verbal form
  • ability to work well with others in the church community
  • ability to manage a multi-line phone system
  • skill in handling multiple tasks simultaneously
  • skill in organizing and relating information in an understandable format
  • computer software skills including database entry, Windows, Microsoft Office, Excel and Internet navigation
  • skill in critical thinking and planning
  • proficient in English conversing, reading, and writing
  • Spanish proficient in conversing, reading, and writing preferred but not required
  • valid Texas driver’s license
  • must maintain compliance with the Diocese of Austin Ethics and Integrity in Ministry policies throughout the employment period

Job Duties

  • Act as a witness to Gospel values by modeling the teachings of the Catholic Church
  • support and adhere to the Code of Conduct and policies and procedures of the church and Diocese
  • maintain confidentiality regarding church matters
  • answer incoming phone lines, screen calls and respond to inquiries or transfer to the proper staff member or voice mail as needed
  • monitor campus entries and exits, let guests into campus, screen guests and issue temporary credentials
  • act as backup receptionist to school receptionist as needed
  • manage incoming and outgoing mail and deliveries
  • reserve rooms and approve reservations entered by staff members
  • schedule Mass intentions for parishioners and staff
  • initiate processing of donations and checks received at the front desk
  • generate room setup schedules for the Facilities department
  • assist Social Justice Ministries with paperwork and Thursday Outreach duties
  • act as a backup for Support for Sunday hospitality for morning masses
  • participate in parish staff meetings
  • be ready and willing to carry out tasks assigned by the Pastor or Parish Administrator
  • other duties as assigned
