Job Description
Our pediatric office is a dedicated healthcare facility catering specifically to the needs of infants, children, and adolescents. We pride ourselves on creating a compassionate and welcoming environment that supports both the young patients and their families. Our team consists of skilled medical professionals committed to delivering high-quality pediatric care in a friendly and efficient manner. The office atmosphere is warm and child-friendly, aiming to make every visit as comfortable and positive as possible for our patients. We utilize advanced electronic health record (EHR) systems and maintain stringent adherence to healthcare regulations including HIPAA compliance to ensure the privacy and security of patient information. We are currently seeking a friendly and organized Receptionist to join our team and become the vital first point of contact for all our patients and families.
As a Receptionist at our pediatric office, you will play an essential role in managing the front desk operations and providing exceptional customer service in a fast-paced healthcare setting. Your main responsibility will be to greet patients and families warmly when they arrive, ensuring a welcoming and reassuring environment from the very first interaction. You will efficiently check in patients by verifying personal, insurance information, and completing all necessary documentation accurately. Managing the office schedule will also be a key duty, including booking appointments and coordinating the daily calendar to facilitate smooth patient flow. Communication skills are critical in this role as you will handle incoming phone calls, address patient inquiries courteously, route messages to appropriate staff members, and keep parents informed about office policies, procedures, and upcoming appointments.
The role requires a high level of organization and multitasking ability, as you will also assist in collecting copayments, processing billing, updating electronic health records, and managing general office correspondence including incoming mail. Maintaining an orderly and presentable reception area with informational materials and supporting medical staff administratively as needed are additional supportive tasks. This position offers a structured work schedule on Wednesdays and Fridays from 8:00 AM to 6:00 PM. Candidates who enjoy engaging with children and thrive under dynamic and fast-paced conditions will find this role particularly rewarding.
The ideal candidate will have prior experience as a receptionist or in a customer service capacity, preferably within a healthcare context. Familiarity with EHR systems and common office software like Microsoft Office is highly beneficial. The ability to maintain professionalism and confidentiality, demonstrating excellent interpersonal and communication skills, is fundamental. Furthermore, candidates must be fully vaccinated, including annual influenza shots, with exemptions available upon request for medical or religious reasons. Experience in a pediatric or family practice environment and bilingual proficiency are advantageous but not required.
Joining our team means becoming part of a compassionate and collaborative healthcare setting where your administrative expertise directly contributes to the quality of care delivered to our young patients. This role not only demands efficient office management skills but also a genuine care for pediatric health and family-centered service. If you are a proactive, friendly, and detail-oriented individual looking for a meaningful position within pediatric healthcare administration, we encourage you to apply and become an invaluable member of our dedicated team.
