The Receptionist role at Jaynes Corporation is a vital part of the company's daily operations, serving as the first point of contact for visitors, clients, and callers. This full-time, non-union position requires an upbeat, outgoing, and highly organized individual who thrives in a fast-paced office environment. The Receptionist is responsible for answering phones, directing calls, greeting and assisting visitors, managing mail and express delivery services, and providing accurate information to callers regarding company operations. Additionally, this role supports administrative tasks such as ordering and distributing office supplies, assisting in document tracking, and verifying certified payroll with subcontractors.
The ideal candidate must be a self-starter with strong communication and customer service skills, demonstrating professionalism and a welcoming demeanor at all times. The position demands the ability to multitask and prioritize duties effectively while maintaining a high level of organization and confidentiality. Physical demands include prolonged periods of sitting or standing, the use of standard office equipment, and light lifting of office materials up to 10-15 pounds. Some travel may be required, and the candidate must hold a valid driver's license and be eligible to operate a company vehicle or personal vehicle for company purposes in accordance with Jaynes' Fleet Safety Management policy.

Job Requirements
- High school diploma
- One year of relevant administrative experience
- Ability to pass pre-employment screenings including drug and alcohol, background, motor vehicle records, reference check, and physical if applicable
- Valid driver’s license and insurability by company insurance to operate company or personal vehicle
- Capacity to remain seated or standing for extended periods
- Ability to use standard office equipment such as computers, telephones, and printers
- Physical ability to lift light materials up to 10-15 pounds
- Availability to work full-time Monday through Friday, 7:30 am to 4:30 pm
- Legal authorization to work in the United States
Job Qualifications
- High school diploma
- One year of administrative experience
- Positive attitude and willingness to take on additional responsibilities
- Working knowledge of computers and office equipment including Microsoft Office Suite, multi-line phone systems, emailing, scanning, and adaptable to web-based program tracking
- Strong organizational and prioritization skills
- Excellent written and verbal communication skills
- Proficient writing, editing, and proofreading abilities
- Professional, confident, and welcoming manner
Job Duties
- Answer telephones and direct callers with a friendly and courteous tone
- Greet and direct visitors to the company
- Take and retrieve messages for various personnel
- Provide callers with company information such as address, directions, fax numbers, website, project manager contacts, and bid submission details
- Receive, sort, and forward incoming mail
- Coordinate pick-up and delivery of express mail services including FedEx and UPS
- Assist in ordering, receiving, stocking, and distributing office supplies
- Assist with clerical duties such as verifying certified payroll from subcontractors and assisting project management with document tracking
- Travel as needed and operate company or personal vehicles per Fleet Safety Management policy
- Perform other assigned duties and responsibilities
