The Receptionist position in the Sales and Marketing department at Legends Global plays a crucial role in supporting the Director of Sales and other managerial staff. This hourly, non-exempt role requires a highly organized and detail-oriented individual who can manage a multitude of clerical and administrative duties proficiently. The Receptionist is responsible for scheduling appointments, managing incoming mail, handling correspondence, typing routine letters, and maintaining an organized filing system. This position acts as the first point of contact for visitors and callers, providing excellent customer service and ensuring smooth communication within the sales team and with external clients.

In addition to managing schedules and correspondence, the Receptionist arranges travel schedules, coordinates meetings, prepares agendas, and records meeting minutes. The role also involves conducting research, compiling statistical reports, and maintaining office supplies and equipment. Strong multitasking abilities and excellent communication skills are critical to perform these duties successfully. A typing speed of at least 55 words per minute and experience with standard office equipment such as computers, calculators, fax and copy machines are essential for this role.

Job Duties

  • locates and attaches appropriate file to correspondence to be answered by Director or Manager
  • composes and types routine correspondence
  • organizes and maintains file system and files correspondence and other records
  • answers and screens Director/Manager telephone calls and arranges conference calls
  • coordinates Director/Manager schedule and makes appointments
  • greets scheduled visitors and directs to appropriate area or person
  • arranges and coordinates travel schedules and reservations
  • conducts research and compiles and types statistical reports
  • completes monthly facility reports
  • coordinates and arranges executive staff and other meetings
  • prepares agendas
  • reserves and prepares meeting location
  • records and transcribes minutes of meetings
  • makes copies of correspondence or other printed materials
  • prepares outgoing mail and correspondence including email and faxes
  • orders and maintains supplies and arranges for equipment maintenance
