The Receptionist position at Spencer Fane is critical in maintaining a positive and professional first impression for the firm’s clients, visitors, and employees. Reporting directly to the Office Administrator, this role serves as the primary point of contact, responsible for managing front office operations and delivering outstanding customer service. The Receptionist handles a variety of tasks including greeting guests, answering and routing phone calls, coordinating conference room schedules, and assisting with hospitality arrangements. This position demands strong organizational skills to balance multiple priorities and the ability to maintain discretion while handling confidential and sensitive information. The Receptionist supports the firm’s operational efficiency by tracking incoming packages and mail, ensuring the reception area and common spaces present a professional business environment. Additionally, the role includes administrative support for special projects and various assignments, requiring flexibility, resourcefulness, and effective communication skills to build and sustain positive relationships with attorneys, clients, vendors, and internal staff. Job Requirements
- High school diploma or equivalent
- Minimum 1+ years of receptionist, administrative support, customer service, or front desk experience
- Prior experience supporting operations within a professional services, corporate, or fast-paced business environment preferred
- Proficiency with Microsoft Office applications including Outlook, Word, and Excel
- Familiarity with multi-line phone systems and conference room scheduling tools
- Strong communication skills
- Ability to handle confidential information with discretion
- Excellent organizational and prioritization skills
- Ability to manage multiple priorities and deadlines
- Flexibility to work occasional evenings or weekends
- Ability to lift and carry up to 25 lbs

Job Qualifications
- High school diploma or equivalent
- Minimum 1+ years of receptionist, administrative support, customer service, or front desk experience
- Prior experience supporting operations within a professional services, corporate, or fast-paced business environment preferred
- Effectively manages daily reception responsibilities including greeting visitors, answering and directing calls, coordinating conference room scheduling, and supporting office operations
- Maintains organized and efficient work processes while balancing multiple responsibilities, shifting priorities, and time-sensitive requests in a fast-paced environment
- Builds positive working relationships through professional verbal and written communication, responsive follow-up, and a strong customer service orientation
- Demonstrates professionalism, discretion, and sound judgment when handling confidential or sensitive information
- Produces accurate and reliable work through careful attention to scheduling, message handling, visitor coordination, package tracking, and administrative support activities
- Demonstrates proficiency with Microsoft Office applications including Outlook, Word, and Excel, as well as familiarity with multi-line phone systems, conference room scheduling tools, and general office technology
- Contributes to office and team objectives by remaining flexible, proactive, and resourceful while supporting changing business needs and special projects
Job Duties
- Greet and assist clients, visitors, and employees in a professional, courteous, and service-oriented manner ensuring a positive first impression of the organization
- Answer, screen, and route incoming and internal telephone calls promptly and accurately while maintaining professionalism and confidentiality in all interactions
- Manage conference room schedules and coordinate meeting logistics including communication with Office Services and Hospitality teams regarding room setup and catering arrangements
- Receive, track, and distribute incoming deliveries including FedEx, UPS, courier packages, and other mail services
- Maintain an organized and efficient reception area and ensure common areas reflect a professional business environment
- Provide administrative and operational support for special projects and additional assignments as needed
- Build and maintain positive working relationships with attorneys, clients, vendors, and staff across all levels of the organization
- Exercise flexibility, initiative, and resourcefulness while effectively managing competing priorities and deadlines in a fast-paced environment
