The position being offered is the Front Desk Receptionist role at KOB 4, a critical position as the first point of contact for guests, employees, and clients, either in person or over the telephone. The Front Desk Receptionist will be stationed at the front reception area throughout their scheduled workday and is responsible for maintaining security protocols, managing visitors’ logs, and ensuring the front desk area remains secure, clean, and organized. This role requires excellent interpersonal skills, including tact, diplomacy, and professionalism in handling sensitive or challenging situations. The successful candidate will answer and direct incoming calls related to KOB-TV, maintain the station’s general voicemail box, and keep themselves informed on television programming information to respond accurately to callers. Other key responsibilities include sorting and distributing mail, scheduling and signing for deliveries from various carriers, and providing administrative support to the Accounting Department through data entry, scanning, and filing.
Collaboration is an essential aspect of this role, as the Front Desk Receptionist interacts professionally with staff across various departments and external agencies, including senior-level personnel. Punctuality and adherence to assigned work schedules are expected, along with a cooperative attitude, sound judgment, flexibility, resourcefulness, and a strong commitment to maintaining confidentiality. Previous experience with multi-line phone systems and proficiency in Microsoft Word and Excel is helpful. Job Requirements
- Ability to sit for longer periods of time
- Good vision and hearing
- Manual dexterity for keyboarding and operation of multiline telephone system and manipulating office equipment and controls
- Ability to communicate in English both verbally and in writing
- Must be able to retain information and articulate information to others
- Average moving and pulling abilities
- Must be able to perform the essential functions of the job
- Willingness to work as scheduled
- High school diploma or equivalent
Job Qualifications
- Excellent phone and interpersonal skills including tact, diplomacy, and ability to handle sensitive, confidential, and challenging situations
- Computer experience in MS Word and Excel
- Cooperative attitude, sound judgment, flexibility, resourcefulness, and ability to ensure confidentiality of information
- Strong customer service orientation and strong organizational skills
- Previous experience answering a multi-line phone system preferred
- Pleasant and professional in appearance and manner
- Ability to work other times as needed
- Bilingual proficiency in Spanish and English a plus
Job Duties
- Greet visitors and guests while maintaining security protocols and visitors logs
- Announce arrival to appropriate person or persons
- Answer and direct incoming calls for KOB-TV and contact KOB personnel when necessary
- Keep up to date with television program information to respond appropriately to callers
- Maintain station general voicemail box
- Sort and distribute incoming mail
- Schedule and sign for deliveries from Federal Express, UPS, and other carriers and notify the appropriate employees
- Assist in providing administrative support such as data entry, scanning, and filing for the Accounting Department
- Work collaboratively in a team environment and interact professionally with staff across departments and with external agencies, including senior-level personnel
- Maintain the front reception area to be secure, clean and organized
- Arrive punctually and adhere to the assigned work schedule
- Perform other duties as assigned
