As a Receptionist at Cornerstone Research’s Boston office, you will play a vital role in maintaining the firm’s high standard of client service and internal support. This full-time position operates from 8:30 AM to 5:30 PM and requires a customer service-oriented mindset combined with exceptional organizational and communication skills. As the first point of contact for employees, candidates, clients, and vendors, you will be the welcoming face and voice of the firm, ensuring a professional and pleasant experience for all visitors and callers. Your key responsibilities will include managing the front desk, coordinating catering for meetings, scheduling conference rooms, and handling a variety of administrative duties such as filing, data entry, and invoice preparation.

Job Duties
- Greet staff, candidates, clients, vendors, and all guests and direct them to or notify the appropriate parties of arrival
- coordinate catering orders for firm and client meetings and assist with room set up and clean up
- assist with keeping reception area, conference rooms, seating area, and pantry organized and tidy
- prepare the office for opening and closing each day (e.g., lock/unlock doors, turn off lights)
- perform regular visual checks to ensure an orderly office
- schedule conference rooms using scheduling software and resolve scheduling conflicts
- provide general administrative support (meeting scheduling, filing, data entry, etc.) as needed
- review, allocate, prepare and research invoices for manager's review and approval
- prepare the weekly newsletter for the office
- process and track all incoming and outgoing mail/packages using online shipping software and our standard shipping protocol
- answer all incoming calls in a timely and professional manner, take complete and accurate messages and follow up accordingly
- run errands, handle pick-ups and deliveries, and courier case documents as needed while ensuring confidentiality of materials
