We are currently seeking a Workplace Coordinator/Receptionist for a six-week assignment with the possibility of extension. This position requires a full-time commitment, Monday through Friday, from 8 am to 5 pm, and is based at our Denver location. The successful candidate will play a pivotal role as the initial point of contact for all individuals entering our facility. This is more than a traditional receptionist role; it is a customer service-oriented position that requires the coordination of various services within the building and managing workplace experiences to ensure they reflect positively on the company.

As a Workplace Experience Coordinator, you will be responsible for delivering an exceptional customer experience to all employees and guests. This includes greeting visitors warmly, managing visitor and parking passes according to strict security protocols, and answering telephone calls in a professional and welcoming manner. The role also expands into coordination duties such as arranging recreational, dining, and business activities, managing maintenance and janitorial work orders, and overseeing office supply services and mail handling. Organizational skills will come into play as you take charge of on-site event management — securing spaces, coordinating setups and teardowns, and ensuring the delivery of necessary supplies. You will be expected to resolve inquiries or complaints diplomatically and efficiently, providing solutions that align with our customer service standards.

The role demands adhering to property-specific security and emergency procedures, ensuring the continued safety and security of everyone in the building. Coordination with external vendors to supply goods or services is also a vital part of the position. Communication skills are essential because you will need to explain complex information clearly and follow directions provided by management closely. This position requires the use of established procedures to handle routine challenges while applying discretion when appropriate. Additional administrative responsibilities may be included.

Our ideal candidate possesses at least a high school diploma or GED with up to two years of relevant work experience. You should have a proven ability to follow established work routines and standards confidently and communicate straightforward information effectively. Competency with Microsoft Office tools such as Word, Excel, and Outlook is necessary, and you should demonstrate strong organizational abilities combined with a curious and proactive problem-solving mindset.

Job Duties

  • First point of contact for all those entering the facility
  • Greet them with a friendly and welcoming demeanor
  • Issue visitor and parking passes and follow security protocols
  • Make a memorable first impression by answering the telephone in a professional manner
  • Create presentations and speak to various-sized groups
  • Arrange and confirm recreational, dining, and business activities on behalf of the requestor
  • Manage janitorial or maintenance work orders as needed
  • Coordinate and execute workplace services including mail, office supply services, and onboarding
  • Acknowledge inquiries or complaints from employees, guests, and co-workers
  • Provide solutions in a professional customer service-driven manner
  • Organize and manage on-site events including securing event space, set up and tear down, and delivery of supplies
  • Follow property-specific security and emergency procedures
  • Notify appropriate parties to ensure the safety of all individuals in the building
  • Coordinate with vendors who supply services or goods to the workplace
  • Explain detailed and/or complicated information within the team
  • Follow specific directions as given by the manager
  • Use existing procedures to solve straightforward problems while having limited opportunity to exercise discretion
  • Perform other administrative tasks
