The role we are hiring for is a Front Desk Receptionist position, which requires a friendly, customer-focused individual who will serve as the first point of contact for all visitors and callers. This position involves answering all switchboard phone calls promptly and professionally, greeting visitors in a courteous and welcoming manner, and providing administrative support specifically related to the enrollment processes. The successful candidate will be responsible for routing calls to the appropriate staff, taking messages efficiently, assisting with student transcript orders and verifications, and helping with the planning and execution of special admission events. Additionally, the role includes managing appointment calendars for admissions, financial aid, and academic counseling departments, maintaining marketing materials, and assisting with data entry and other clerical duties. This dynamic and multifaceted position demands excellent communication skills, the ability to work collaboratively with different departments, and a commitment to providing outstanding service to the university community. Job Requirements

  • High school diploma or GED required
  • Bachelor’s degree preferred
  • Experience with a multiple line busy switchboard
  • Strong communication skills
  • Strong customer service skills
  • Basic computer literacy
  • Ability to type a minimum of 30 words per minute
  • Professional telephone manner
  • Ability to work collaboratively with other departments
  • Ability to listen and respond positively to customers
  • Ability to manage multiple tasks
  • Flexibility to assist with clerical functions

Job Qualifications

Job Duties

  • Answer incoming calls and route them promptly to appropriate staff or voicemail
  • Politely take messages when necessary
  • Greet visitors in a friendly, welcoming and professional manner
  • Ensure visitors sign in, receive parking authorization, name tags, and are escorted
  • Support enrollment processes including ordering and verifying student transcripts
  • Assist with planning and executing special admission events
  • Maintain appointment calendars for admissions, financial aid, and academic counseling
  • Assist with confirming and rescheduling appointments
  • Inventory and maintain marketing materials and promotional items
  • Perform data entry, scan documents, email processing requests, copy, print, and assist with special projects
  • Assist with execution of direct mail and bulk mail projects
  • Perform other duties as needed
